Purchaser

Key responsibilities:

• Source suppliers and request quotations for required items from at least three vendors when applicable.
• Negotiate prices, delivery schedules, and payment terms with suppliers.
• Coordinate closely with department heads for purchasing requests and technical specifications.
• Process approved Stock Requisition (SR) into Purchase Orders (POs) and maintain accurate records.
• Ensure timely delivery of goods and services and follow up on any discrepancies or delays.
• Conduct quality checks upon delivery and coordinate with the receiving team for proper documentation.
• Monitor inventory levels and avoid overstocking or stockouts of critical items.
• Maintain updated supplier database and establish long-term partnerships with reliable vendors.
• Ensure all procurement activities comply with the resort’s purchasing policies and budget controls.
• Submit weekly purchasing reports, savings analysis, and market price comparisons to the Resort Manager.
• Handle emergency and urgent purchase requirements promptly and responsibly.
• Assist in the annual procurement planning and budgeting process.
• Ensure all documents such as delivery receipts, invoices, and POs are properly filed and endorsed to accounting for payment processing.
• Perform other duties as assigned by the immediate supervisor.

Qualifications:

• Bachelor’s degree in Business Administration, Supply Chain, or related field.
• At least 2 years of experience in purchasing, preferably in the hospitality or food industry.
• Strong negotiation and communication skills.
• Detail-oriented with excellent organizational and record-keeping ability.
• Knowledge of local suppliers and market pricing is an advantage.
• Proficiency in MS Office and basic procurement systems or tools.
• Trustworthy, proactive, and able to work under pressure.
