Billing Specialist

On behalf of Geraci LLP, we are seeking a detail-oriented and highly experienced Billing Specialist with deep expertise in Clio to manage and optimize the firm’s billing operations remotely. This role is critical in ensuring accurate, timely, and compliant invoicing while supporting attorneys and staff with billing-related processes.

- Manage end-to-end legal billing using Clio Manage and/or Clio Grow
- Review attorney and staff time entries for completeness and accuracy
- Generate, review, and finalize client invoices with a high level of precision
- Prepare monthly, interim, and project-based invoices
- Ensure proper time entry, expense tracking, and billing compliance
- Identify discrepancies and resolve billing issues proactively
- Coordinate with attorneys on billing questions, adjustments, and narratives
- Monitor client retainers and request replenishment when required
- Process payments, reconcile invoices, and maintain accurate payment records
- Prepare billing reports and provide insights to improve billing efficiency
- Support month-end and year-end closing activities related to billing
- Maintain organized billing files and ensure client records are up to date
- 3+ years of legal billing or financial administration experience
- Advanced proficiency in Clio (Manage and/or Grow) — this is a must-have
- Strong understanding of legal billing workflows, trust accounting, and compliance
- Exceptional attention to detail and accuracy — you catch things others miss
- Experience with invoicing, accounts receivable, and payment processing
- Proficiency in Microsoft Excel or Google Sheets
- Ability to work independently and manage multiple priorities
- Experience supporting U.S.-based businesses
- Two professional references and a valid criminal background check issued within the last 60 days are required for all successful applicants.
- Completion of intake paperwork, including submission of a valid tax identification number (e.g., Social Security Number, Social Insurance Number, or the country’s equivalent), is required before onboarding.
Preferred:
- Experience in a law firm environment
- Trust accounting experience
- Familiarity with QuickBooks, LawPay, or similar platforms.
Working Hours: Full Time (40 hours per week)
Monday through Friday 8 a.m. - 5 p.m. Pacific Time
