Position Overview:
The Accountant Coordinator supports revenue growth by managing the administrative, operational, and client-focused components of the sales cycle. Partnering with the Account Director, this role evaluates client needs, recommends solutions, manages orders, and resolves issues through delivery.
This position provides hands-on exposure to both Client Services and Production, supporting projects from concept through completion while ensuring a high-quality client experience. Success in this role requires strong communication skills, sound judgment, attention to detail, and the ability to balance quality, cost, branding, and deadlines in a fast-paced environment.
Duties and Responsibilities:
- Serve as a primary day-to-day contact for client inquiries, project details, and order updates.
- Communicate with clients via email, phone, and virtual meetings in a professional and timely manner.
- Clarify client needs and apply judgment to recommend product, decoration, and fulfillment options aligned with brand standards, budgets, and timelines.
- Prepare and present product recommendations, pricing, proposals, and solution packages based on client objectives.
- Analyze historical order patterns and client preferences to suggest appropriate solutions or alternatives.
- Independently manage all administrative and operational steps of the sales cycle, including product sourcing, pricing requests, order entry, production tracking, and delivery confirmation.
- Support projects from initial concept through final delivery while ensuring accuracy and timeliness.
- Maintain accurate CRM records and document all client communications
- Evaluate project requirements and determine the appropriate vendor, product fit, decoration method, shipping path, and timeline.
- Select and coordinate with vendors to obtain quotes, confirm accuracy, and monitor production.
- Review proofs, samples, and production details for quality and compliance with client guidelines.
- Monitor production schedules and proactively address delays, risks, or issues.
- Resolve vendor issues independently, escalating to the Account Director only when needed.
- Exercise discretion to adjust orders, approve substitutions, or modify details based on availability, quality, or client impact.
- Provide proactive updates to clients on order status, expected delivery, and any required changes.
- Identify and address order discrepancies, timeline risks, and quality issues early, determining appropriate corrections or alternatives.
- Recommend solutions to clients when product availability, decoration challenges, or shipping delays arise.
- Manage fulfillment and special projects by coordinating across Operations, Production, and Logistics.
- Collaborate with Operations, Production, Art, Accounting, and Sales teams to ensure seamless handoffs and timely execution.
- Communicate client expectations clearly and advocate for quality, accuracy, and on-time delivery.
- Support Account Directors by managing the administrative and operational execution of client programs with minimal oversight.
- Provide support across Client Services and Production functions as needed.
Qualifications and Skills:
- Strong ability to exercise independent judgment and manage complex details across multiple client projects.
- Exceptional communication skills, both written and verbal
- Advanced organization and prioritization skills with the ability to manage multiple deadlines.
- Strong proficiency in MS Office (especially Excel, Outlook, and PowerPoint) and web-based systems.
- High degree of professionalism, accuracy, and attention to detail
- Ability to build strong client relationships and represent the organization with integrity and service excellence.
- Problem-solving mindset with the ability to evaluate options and make informed recommendations.

Education & Experience:
- High school diploma required; associate or bachelor’s degree preferred.
- Previous experience in promotional products, sales support, project management, or client service is strongly preferred.
- Experience working in fast-paced environments with complex multi-step workflows is highly valued.
