GENERAL BACK OFFICE OFFICER

Job Summary

The General Back Office Officer will be responsible for handling Japanese student and employee visa processing, recruitment and HR functions and general administrative tasks to ensure the smooth operation of the school. The ideal candidate is highly organized, detail-oriented and capable of managing multiple responsibilities in a fast-paced international educational environment.

Key Responsibilities:

Student & Employee Visa Processing
  • Process and monitor visa applications, extensions and related documentation for Japanese students and employees.
  • Prepare, review and verify documents required by relevant government agencies.
  • Coordinate with students, employees, school personnel, immigration offices and external partners regarding visa-related matters.
  • Maintain accurate records and ensure compliance with applicable regulations and deadlines.
  • Provide administrative support related to student enrollment and employee documentation.
Human Resources & Recruitment
  • Manage recruitment activities including job postings, applicant screening, interview coordination and onboarding.
  • Prepare employment contracts, personnel records and employee documentation.
  • Maintain employee files and HR databases.
  • Support employee relations and day-to-day HR administration.
  • Assist management in implementing HR policies and procedures.
Administrative Operations
  • Perform general office administration and back-office support functions.
  • Manage filing systems, records, correspondence and confidential documents.
  • Coordinate meetings, schedules and internal communications.
  • Prepare reports, presentations and operational documents as required.
  • Support school management with various administrative and operational tasks.
Qualifications
  • Bachelor's degree in Business Administration, Human Resources, Management, Education Administration or a related field.
  • Minimum of five (5) years of relevant work experience is required.
  • Experience in visa processing, educational administration, HR, recruitment or office administration.
  • Strong understanding of documentation and compliance processes.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills in English.
  • Proficiency in Microsoft Office applications.
  • Ability to work independently and handle multiple priorities.
  • Experience working in an international school, ESL institution, recruitment agency or visa processing environment is an advantage.

Important Requirement

This position is open only to candidates with at least five (5) years of relevant professional experience. Fresh graduates and applicants without the required experience are not considered for now.
