To serve as the primary administrative engine of the institute, ensuring seamless daily operations, organized record-keeping, and professional communication between the administration, faculty, and students.
Key Responsibilities
Office Coordination: Manage daily office activities, including answering inquiries, handling correspondence, and maintaining a professional reception environment for visitors and prospective students.
Student & Enrollment Management: Facilitate the enrollment process, maintain updated student databases, and manage the release and retention of academic records, certificates, and handbooks.
Financial Administration: Assist in tuition collection, issuance of receipts, and basic bookkeeping. Coordinate with the accounting department to ensure financial records are accurate and up-to-date.
Logistics & Procurement: Oversee the inventory of office and classroom supplies. Coordinate with suppliers for the timely delivery of ingredients and equipment as requested by the culinary team.
Document Control: Organize and maintain a digital and physical filing system for institutional policies, accreditation papers, Memorandum of Agreements (MOAs), and OJT documentation.
Communication Support: Draft professional memos, emails, and social media captions. Act as a collaborative liaison between the Executive Director, the kitchen staff, and external partners (e.g., hotels and guest speakers).
Qualifications/Requirements
Qualifications & SkillsEducation: Bachelor’s degree in Business Administration, Office Management, Hospitality Management, or a related field.
Experience: At least 6 months –1 year of experience in an administrative or secretarial role, ideally within an educational or hospitality setting.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with digital filing systems or CRM software.
Soft Skills:
Communication: Exceptional written and verbal communication skills with a "soft," professional, and collaborative tone.
Organization: Highly detail-oriented with the ability to multitask and meet deadlines in a fast-paced environment.
Discretion: Ability to handle sensitive student information and financial records with strict confidentiality.

Remarks
Working ConditionsPrimarily office-based within the institute complex.
Occasional coordination during weekend workshops or special culinary events may be required.
