Schedule: Morning Shift
Job Description:
Key Responsibilities- Act as the first point of contact for clients, managing and triaging incoming emails and phone calls, responding to general enquiries, or escalating matters to advisers when required
- Manage ongoing client communications, including liaising with clients and insurance or investment partners
- Maintain and update accurate client records in AdviserLogic and the firm’s financial planning system (Xplan)
- Prepare for client meetings by organising digital files, documents, and virtual meeting materials
- Assist with client onboarding, including data entry, fact-find input, and setting up new client profiles
- Provide administrative support for advice delivery, including preparation of SOA/ROA documents, application forms, and related paperwork for insurance, superannuation, and investments
- Track implementation tasks, follow up on applications, and monitor pending provider or client responses
- Coordinate and schedule client meetings, follow-ups, calls, and maintain calendars and reminders
- Deliver ongoing client service support and liaise with external providers as required
Qualifications and requirements:
Required:
- 2–5 years’ experience working in an Australian financial planning or insurance company
- Previous experience working directly with a financial adviser
- Strong CRM experience using AdviserLogic or Xplan
- Excellent verbal and written English communication skills
- Strong organisational skills, attention to detail, and ability to manage multiple priorities
- Ability to work independently in a remote environment and meet deadlines
Nice to Have:
- Experience with investment platforms
Non-negotiable skills and requirements:
- 2–5 years’ experience working in an Australian financial planning or insurance company
- Previous experience working directly with a financial adviser
- Strong CRM experience using AdviserLogic or Xplan
