Schedule: Morning Shift

Job Description:

We are seeking an experienced Workflow Automation Specialist to design, build, and maintain automated business processes across our sales and operations systems. This role will focus on integrating platforms such as Manifestly, CRM systems, email services, and document management tools to streamline workflows, reduce manual tasks, and improve operational efficiency.

A key objective of this role is to implement automation that triggers actions (such as email communication and document storage) based on checklist progress, while allowing human review where necessary.

Key Responsibilities:

  • Design and implement automated workflows triggered by checklist actions within Manifestly
  • Build smart email automation that:
  • Triggers when specific steps are completed
  • Allows users to review and edit emails before sending
  • Sends to designated recipients automatically
  • Develop document automation processes, including:
  • Capturing documents generated from Realtair
  • Automatically saving files to structured SharePoint folders
  • Integrate systems using tools such as:
  • Zapier (preferred for rapid deployment)
  • Microsoft Power Automate
  • CRM platforms (e.g., Realtair, VaultRE, Agentbox)
  • Collaborate with internal stakeholders to translate sales workflows into automation logic
  • Optimize high-effort manual tasks identified in existing processes
  • Maintain and troubleshoot automation workflows
  • Ensure data accuracy, security, and system reliability across integrations

Qualification and requirements:

  • Proven experience building automation workflows across multiple platforms
  • Strong experience with tools such as:
  • Zapier
  • Microsoft Power Automate
  • Manifestly
  • Experience integrating CRM systems and third-party tools
  • Familiarity with API integrations and webhook-based automation
  • Experience working with Microsoft 365 ecosystem (Outlook, Teams, SharePoint)
  • Strong problem-solving skills and ability to map business processes into technical workflows

Nice-to-Have:

  • Experience working with sales or real estate workflow processes
  • Experience documenting automation systems and creating user guide

Non-negotiable skills & requirements:

Required Skills
  • Strong hands-on experience with workflow automation tools, including:
  • Zapier
  • Microsoft Power Automate
  • Manifestly
Preferred / Bonus Skills
  • Experience working with AI-driven workflow tools such as Claude Workflows or other Claude automation platforms (e.g., Claude AI Workflows or Claude Code Workflow Platform)
  • Basic scripting or coding knowledge
  • Experience with document generation and document management systems
Experience
  • 2–3 years of relevant experience in workflow automation, system integrations, or similar roles.
