Job Description

As an Executive Assistant, you will provide high-level administrative support to the CEO, managing complex calendars, meetings, communications, and projects. You'll serve as a trusted partner, helping streamline priorities and ensuring smooth day-to-day operations in a fast-paced, international environment.

The Qualifications We Seek

Requirements:

  • At least 3 years of proven experience as an Executive Assistant, Personal Assistant, or similar role (supporting C-level executives preferred)
  • Excellent written and verbal communication skills in English
  • Strong organizational skills with high attention to detail
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), and calendar/email tools
  • Strong time management and ability to work independently
  • Tech-savvy, resourceful, and solution-oriented
  • Familiarity with Australian culture, time zones, and business etiquette a strong advantage

Preferred Qualifications:

  • Experience supporting executives in an Australian or international company
  • Background in business administration or communications
  • Experience using tools like Slack, Trello, or Notion

Your Daily Tasks

Calendar & Email Management
  • Coordinate and manage the CEO's schedule, meetings, and appointments across multiple time zones
  • Prioritise and respond to emails on behalf of the CEO when appropriate
Meeting Coordination
  • Schedule internal and external meetings (Zoom, Teams, Google Meet)
  • Prepare agendas, take minutes, and follow up on action items
Travel Management
  • Organise domestic and international travel, including flights, hotels, transfers, and itineraries
Document Preparation & Reporting
  • Draft professional presentations, board reports, briefing documents, and correspondence
  • Assist with preparing reports and summaries for key business activities
Project & Task Support
  • Track progress of key initiatives and help the CEO stay on top of deliverables
  • Coordinate with cross-functional teams and stakeholders
Confidential Support
  • Handle sensitive information with discretion and integrity
  • Provide personal assistance tasks where necessary (e.g., insurance renewals, bookings)
