The Admin & Operations Manager is the engine room of the business. The role exists to make sure the company runs smoothly day-to-day so the commercial team (Sales & Marketing) can spend their time where they create most value - with customers, partners and the program.This is a hands-on, broad-scope role that combines executive support, operational coordination, administration, internal systems management and people support. It suits someone who genuinely enjoys bringing order to ambiguity, anticipating what's needed before being asked and being the trusted right hand of the CEO in a growing business.
What You'll Bring- 3+ years in an operations, executive assistant, office manager or business manager role, ideally in a small or scaling business.
- Strong written and verbal communication - clear, concise, professional.
- Confident with the modern productivity stack: Google Workspace / Microsoft 365, Slack or Teams, a CRM (GHL), and at least one finance tool (Xero).
- Highly organised: comfortable juggling multiple priorities, owning your own task list, and closing loops without being chased.
- Discretion and trustworthiness with confidential information.
- A bias to action and a problem-solver's mindset - you fix it, document it, and move on.
Key Responsibilities
Executive Support- Prepare agendas, capture actions and own follow-through on commitments made in internal and external meetings.
- Draft, format and proof internal and external communications, briefs and decks.
- Maintain confidentiality and good judgement on sensitive correspondence and information.
- Own the day-to-day running of company tools, accounts and subscriptions, storage, file structure and shared drives.
- Document and improve internal processes - turn one-off tasks into repeatable systems.
- Keep core operating documents current and easy to find.
- Coordinate contractors and service providers, track renewals and deliverable dates.
- Liaise with Web dev and Content Management representatives for all websites.
- Support Marketing activities in both the US and AU.
- Manage day-to-day bookkeeping inputs: invoicing, expenses, receipts, supplier payments and reconciliations in Xero.
- Liaise with the external accountant / bookkeeper to ensure month-end and BAS / tax obligations are met on time.
- Maintain the CRM: data hygiene, pipeline housekeeping, follow-up reminders and reporting.
- Prepare proposals, statements of work, contracts and onboarding packs from approved templates.
- Coordinate client onboarding, scheduling and basic account admin.
- Oversee the creative delivery of content to support the commercial team.
- Coordinate onboarding and offboarding for new team members and contractors.
- Maintain HR records, leave tracking and key people documents.
- Help organise team meetings, offsites and internal communications cadence.
- Train and supervise team members, analyzing areas of weakness and monitor work.
- Perform other duties as the role evolves.
- Run point on cross-functional projects, events, launches, partnerships, webinars, internal initiatives.
