We are looking for an organized, detail-oriented, motivated, problem-solver to join our Iloilo office as a Team Administrator supporting our Bermuda and Cayman based Management Consultants. This position is ideal for someone who thrives in a fast‑paced, process‑driven environment, takes ownership of their work, and consistently delivers accurate, timely support across multiple systems and stakeholders.

JOB RESPONSIBILITIES:

System & Data Management (Microsoft Dynamics / CRM)
  • Maintain accurate and up‑to‑date job, client, candidate and application records.
  • Upload, track and file candidate information and correspondence daily.
  • Ensure mandatory data is complete, accurate and compliant; escalate issues promptly.
  • Produce reports and manage follow‑ups with the Department of Immigration (DOI)
Timekeeping & Billing (eBillity)
  • Complete daily and monthly timesheets accurately and on time.
  • Enter and reconcile fixed‑fee and hourly charges; flag discrepancies promptly.
  • Liaise with Finance on billing adjustments, cancellations and month‑end reviews.
Immigration & Compliance Support
  • Prepare immigration documents, forms and cover letters accurately and promptly.
  • Coordinate document certification and verify DOI correspondence.
  • Track applications, follow up with authorities, and produce regular status reports.
  • Manage refunds and provide updates to management.
Advertising Administration
  • Prepare, book and manage compliant job advertisements.
  • Track advertising schedules, verify published ads, and resolve discrepancies.
  • Maintain advertising records and reporting post‑campaign.
Candidate Administration
  • Manage candidate documentation, reviews and consent processes.
  • Ensure candidate data accuracy and compliance with immigration requirements.
  • Provide timely updates to stakeholders and communicate outcomes to candidates.
  • Coordinate referrals with external agencies as required.
Payments & Financial Coordination
  • Consolidate and submit payment requests, track approvals, and file proof of payment.
  • Communicate payment confirmations to stakeholders promptly.
General & Team Support
  • Meet deadlines, manage priorities, and escalate risks proactively.
  • Monitor shared inboxes and government updates relevant to immigration and HR.
  • Maintain documentation, procedures and file‑naming standards.
  • Support onboarding, training, process improvements, and ad‑hoc projects.

JOB REQUIREMENTS:

  • Bachelor’s Degree. Fresh graduates are welcome to apply.
  • Significant client relationship experience of at least 3 years
  • Ability drive and execute communication in all forms – calls, emails, attending meetings (remotely)
  • Significant experience in creating, gathering and review of documents, including cover letters and all other support documents
  • Experience delivering high‑quality administrative support while coordinating and tracking multiple projects, deadlines, and stakeholders
  • Exceptional attention to detail with a track record of entering and maintaining accurate data across multiple systems.
  • Highly organized, with the ability to manage multiple priorities, deadlines, and workstreams simultaneously in a fast‑paced environment.
  • Willingness to support additional tasks and projects as assigned.
  • Excellent spoken and written English
  • Excellent critical thinking skills
  • Reporting onsite with office in Iloilo Business Park, Iloilo City
  • Willing to work the graveyard shift, Mondays to Fridays at 8 pm top 5 am
