We are currently looking for a highly experienced, detail-oriented, and integrity-driven Virtual Executive Assistant to provide high-level global administrative and operational support to executives and international clients based primarily in North America and Canada, serving as a trusted partner in managing confidential and business-critical matters.

This is a hybrid role, requiring both remote work and occasional onsite availability at our Ortigas Center office. The ideal candidate can work independently, manage multiple priorities, and proactively support executives across different time zones, with flexibility to align with Pacific Time (PT) or Eastern Time (ET) schedules.

Job Key Responsibilities
  • Manage executive calendars, schedule meetings, and coordinate appointments across global time zones, ensuring priorities and deadlines are well managed
  • Monitor and manage executive inboxes, draft responses when needed, and follow up on action items proactively
  • Prepare executives for meetings by organizing presentations, reports, and relevant documents
  • Coordinate international and domestic travel arrangements including flights, accommodations, transportation, and itineraries
  • Maintain and organize digital files, internal documents, reports, and confidential records across internal systems
  • Serve as a primary point of contact for internal teams and international clients, handling communications with professionalism and discretion
  • Extensive experience working with North American clients is essential for managing the cultural and business nuances of this international role
  • Assist with project tracking, task monitoring, and administrative follow-ups across multiple executives or business entities
  • Prepare, reconcile, and track expense reports; support light bookkeeping and financial coordination using QuickBooks or QuickBooks Online (QBO)
  • Enter invoices, pull financial reports, and assist executives with basic financial tracking in preparation for meetings
  • Support ad hoc administrative and occasional personal tasks as required, anticipating executive needs and adapting to changing priorities
Job Qualifications
  • Minimum 5 years of experience as an Executive Assistant, Virtual Executive Assistant, or in a similar senior administrative support role
  • Candidates with a degree in Accounting are highly prioritised for this role
Proven experience supporting international or North America-based executives, preferably handling multiple stakeholders
  • Experience in QuickBooks or QuickBooks Online (QBO) and familiarity with basic accounting or finance processes is a strong advantage
  • High proficiency in tools such as Google Workspace, Microsoft Office, Zoom, Calendly, Trello, Slack, and travel booking platforms
  • Demonstrates strong integrity and accountability, including transparency in communication, ownership of tasks, and ethical handling of sensitive information
  • Strong organisational skills with the ability to manage multiple priorities and work with minimal supervision
  • Excellent written and verbal communication skills, with confidence handling executive-level and client-facing interactions
  • High level of discretion and professionalism in handling sensitive and confidential information
  • Tech-savvy, proactive, detail-oriented, and comfortable working in a fast-paced, dynamic environment
  • Willingness to work in a hybrid setup, with the ability to report onsite at Ortigas Center, Pasig as needed.
Job Qualifications
  • Onsite presence at our Ortigas Center office will be required on an as-needed basis only.
  • The successful candidate must demonstrate full shift alignment with North American time zones to effectively support our executives.
