Job Summary: We are looking for a resourceful and dependable Admin and Operations Virtual Assistant to provide reliable day-to-day support across multiple business functions. This role involves a varied blend of administrative coordination, online and grant research, operational support, and light social media management.

The ideal candidate is organized, takes initiative readily, and is fully comfortable wearing multiple hats in a dynamic and fast-moving environment.

Key Responsibilities:

  • Organize and continuously improve administrative workflows across multiple business operations
  • Conduct thorough online research including grant identification, eligibility review, and application support
  • Manage follow-up communications, professional email correspondence, and appointment scheduling
  • Prepare, complete, and submit required forms and paperwork across business areas as needed
  • Support recruitment tasks such as posting job listings and screening incoming applicants
  • Assist with light social media management including content scheduling, community engagement, and responding to comments and direct messages
  • Leverage AI tools strategically to improve efficiency and strengthen research and administrative output
  • Help build and maintain organizational systems and standard operating procedures for recurring tasks
  • Coordinate calendars and manage appointment scheduling across the business as required
  • Track tasks and deadlines across all business functions to ensure consistent and timely delivery

Mandatory Skills:

  • Proven experience in administrative support and virtual assistance roles
  • Strong organizational skills with the ability to manage tasks across multiple concurrent projects simultaneously
  • Experience conducting structured online research including grant research and government or state-level documentation review
  • Proficiency in Google Workspace including Docs, Sheets, Gmail, and Calendar
  • Familiarity with AI tools such as ChatGPT and a genuine willingness to use them practically for research and productivity workflows
  • Strong written and verbal communication skills in English
  • Reliable, detail-oriented, and capable of working autonomously with minimal supervision
  • Comfortable managing email correspondence and taking ownership of proactive follow-up communications

Preferred Skills:

  • Experience with project management platforms such as Monday.com, Asana, or Trello
  • Background in recruitment support including job posting and candidate screening
  • Familiarity with social media platforms and basic content scheduling workflows
  • Experience working within an Apple ecosystem
  • Familiarity with nonprofit operations and grant application processes
  • Ability to identify workflow inefficiencies and suggest practical improvements
  • Prior experience supporting business owners who manage multiple ventures simultaneously
