Operations Admin Assistant | WFH (w/ Payroll and Compliance exp)
Key Responsibilities:
Operations:
- The role is responsible for ensuring the accuracy and completeness of job-related data, including bookings, timesheets, GPS records, and e-tickets.
- It focuses on identifying and resolving discrepancies, correcting job allocations, and ensuring labor hours are properly recorded and billed.
- Working closely with Operations, Payroll, and Accounts, this position helps prepare jobs for invoicing while maintaining compliance with EBA, award, and company requirements.
- Strong attention to detail, analytical skills, and effective communication are essential for success in this role.
Payroll & Compliance:
- Responsible for accurately processing and reconciling employee timesheets in Visual Dispatch, ensuring all entries are fully supported by GPS records, e-tickets, and required documentation before approval.
- Maintains strict data integrity by rejecting incomplete or incorrect submissions and following up with employees, supervisors, and Operations for clarification.
- Ensures employee records are up to date while demonstrating strong attention to detail, accountability, and confidence in enforcing compliance and accuracy standards.
Requirements:
- Exceptional attention to detail and accuracy.
- Ability to confidently question, challenge, and escalate discrepancies where required.
- Ability to work autonomously while collaborating effectively with multiple teams.
- Strong commitment to accuracy, compliance, and following established processes.
Experience:
- Demonstrate strong organizational, team-oriented, evaluation and problem-solving skills.
- Active member of a high-performance team and Company team culture.
- Experience with CRM/ Xero/ booking system would be advantage.
- Experience processing or reconciling timesheets, payroll, invoicing, or workforce administration.
- Experience reconciling timesheets against GPS tracking data, e-tickets, bookings, and operational records (preferred).
