JOB PURPOSE
The Executive Assistant (EA) to the President & CEO plays a pivotal role in supporting the strategic and operational execution of a leading life insurance company in the Philippines, boasting a workforce of more than 800 employees. This highly visible role demands exceptional organizational skills, discretion, and a proactive approach to balancing multiple priorities in a fast-paced, dynamic environment.
JOB DESCRIPTION- Calendar & Schedule Management: Act as gatekeeper and primary point of contact for scheduling meetings, appointments, and travel for the CEO. Ensure optimal use of time and avoid scheduling conflicts by prioritizing requests and anticipating needs.
- Communication Liaison: Facilitate and streamline communication between the CEO and internal/external stakeholders, including Board members, executives, regulators, partners, and employees.
- Meeting Coordination: Organize and prepare materials for executive meetings, board sessions, and company events. Record minutes and follow up on action items to ensure timely completion.
- Travel Management: Arrange complex international and domestic travel itineraries, including flights, accommodations, visas, ground transportation, and contingency planning.
- Confidentiality & Discretion: Handle sensitive information with utmost confidentiality and integrity. Exercise sound judgment in the management of confidential matters.
- Event Planning: Plan and coordinate company-wide events, workshops, and executive offsites, ensuring seamless execution and stakeholder satisfaction.
- Document Management: Maintain organized records, retrieve documents as needed, and manage the CEO’s digital and physical files for ease of access and compliance.
- Expense & Budget Tracking: Monitor and process CEO-related expenses, ensuring timely submission and adherence to company policies. Assist in budget management for executive office expenditures.
- Relationship Management: Build and nurture positive relationships with key partners, industry leaders, regulators, and government entities on behalf of the CEO.
- Problem Solving: Anticipate challenges, proactively identify solutions, and take initiative to resolve issues before they escalate.
- Office Coordination: Liaise with other executive assistants and administrative staff to ensure smooth operations across the leadership team.
