Sales and Marketing Assistant
Responsible for the efficient processing, documentation, and monitoring of EcoOil orders for both retail and national accounts. Ensures the accuracy of order creation, invoicing, reporting, and records management while supporting seamless coordination among the Sales, Logistics, Finance, and Operations teams.The position plays a key role in maintaining timely and accurate sales documentation and customer account processing.
Key Responsibilities
Order Processing and Documentation
Process EcoOil orders for retail and national accounts accurately and efficiently. Create and maintain complete and accurate order records in company systems.
Prepare authorities to withdraw (ATW) for pickup and delivery transactions.
Monitor order status and coordinate with relevant departments to ensure timely fulfillment.
Reporting and Record Management
Generate and submit daily order reports and sales-related documentation.
Maintain organized records of sales transactions and supporting documents.
Sort, file, and archive sales invoices on a monthly basis for easy retrieval and audit compliance.
Invoicing and Collection Support
Prepare, verify, and transmit sales invoices to clients and internal departments in a timely manner.
Manually input and validate collection receipt details to ensure accuracy and completeness.
Coordinate with Finance and Accounting teams regarding invoice and collection concerns.
Credit and Account Administration
Prepare Cash/Credit Recommendation and Approval Memorandum (CRAM) documents.
Assist in the evaluation, documentation, and monitoring of customer credit requirements.
Ensure all credit-related records are properly maintained and updated.
QUALIFICATION- Bachelor's degree in Marketing, Business Administration, Communications, or a related field.
- At least 1 year of experience in sales, marketing, customer service, or a related role is an advantage.
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
- Familiarity with social media platforms and digital marketing tools is an advantage.
- Detail-oriented and capable of handling multiple tasks simultaneously.
- Ability to work independently and as part of a team.
- Willing to learn and adapt in a fast-paced work environment.
