Position: Virtual Assistant

Job Description

Job Overview: This position requires very strong technical skills, complemented by experience in a wide variety of applications. The nature of the business generates many documents which include graphics and spreadsheets – there will also be a component of clerical work too.

Essential Duties and Responsibilities include the following. Other duties may be assigned.
  • Creating documents and exhibits:
  • Using Word, Excel, Adobe and AI tools
  • Create templates using MS Word
  • Provide administrative assistance during the project lifecycle (from initial site research to city permit approval).
  • This includes organizing project files, managing document versions, and ensuring all technical reports are formatted and ready for submission.
  • May assist with email management, scheduling meetings and calendar management
  • Set up new files
  • Assisting the owner and Executive Assistant (Denise) with admin including; email management, scheduling and organizing etc.
  • Research and other projects as directed by Ernest and Denise

Key Qualifications:

  • 1-2 years assisting an executive / owner
  • Experience supporting a US business is a plus
  • Experience with the following apps:
  • Advanced Microsoft Office including strong proficiency in Word and Excel
  • Google Workspace
  • Dropbox
  • Adobe Acrobat, advanced
  • Canva
  • Windows (minor fixing of glitches or how to set up and manage apps)
  • Advanced proficiency with AI apps such as Claude, Gemini, Perplexity, Gemini etc.must have Claude ai experience specifically Claude Cowork.
  • Tech savvy, able to learn new apps and workflows quickly
  • Includes helping owner organize desktop
  • Troubleshooting when printer won’t print
  • Ability to “figure things out”
  • Fluency in English writing and speaking
  • Strong organizational skills and attention to detail
  • Ability to multi-task and support a fast-moving executive
  • Demonstrated history of working US business hours

Shift / Hours:

Monday – Friday in one shift, 9:00 AM PST – 1:00 PM PST. Note this is +15 or +16 Philippine time, which will be 1:00 AM PHT – 5:00 AM in PHT within Daylight Savings time and 2:00 AM PHT – 6:00 AM in PHT outside of Daylight Savings Time.
