Real Estate Operations Assistant
Job Summary: We are seeking a detail-oriented Property Management Administrative Assistant to provide essential administrative support for property management operations in the Virginia Beach area. This part-time remote role focuses primarily on managing maintenance requests, coordinating vendors, and handling property-related administrative tasks through AppFolio CRM, with secondary responsibilities supporting real estate lead generation activities.
Key Responsibilities:
Primary Focus — Property Management Administration (80% of role):
- Manage maintenance requests and work orders through AppFolio CRM
- Coordinate with vendors and contractors for property maintenance and repair scheduling
- Schedule maintenance appointments and follow up to confirm timely completion
- Communicate with tenants via the AppFolio messaging platform and WhatsApp
- Process and track all maintenance-related documentation accurately
- Maintain well-organized records of all property management activities and interactions
- Handle day-to-day administrative tasks related to ongoing property operations
- Respond promptly to urgent maintenance issues including outside of regular business hours when required
Secondary Focus — Real Estate Lead Support (20% of role):
- Assist with marketing activities for property listings
- Support lead conversion efforts using GoHighLevel (full training provided)
- Help manage communications with potential clients and prospective tenants
Mandatory Requirements:
- Basic working experience with AppFolio CRM — must be comfortable navigating the platform for maintenance management and tenant communication
- Excellent written and verbal English communication skills
- Strong organizational abilities with a high level of attention to detail
- A proactive problem-solving approach capable of managing unexpected situations efficiently
- Comfortable working in a fast-paced real estate environment
- Reliable internet connection and a professional home office setup
- Available for on-call emergency maintenance situations outside of regular hours — compensated separately
Preferred Skills:
- Prior experience in property management or real estate administration
- Familiarity with the GoHighLevel platform
- Experience using WhatsApp for professional business communication
- Understanding of maintenance coordination and vendor management workflows
- Ability to prioritize multiple urgent requests simultaneously without losing accuracy
