Level: Mid-Level (2–4 years experience)

Position Purpose

The Commercial Operations Assistant is responsible for providing comprehensive administrative support across the commercial operations function. The role is pivotal in managing property and lease documentation, administration for new store onboarding, and utilities and insurance covers management.

The position will be an integral central coordination point for the smooth day-to-day administration of the commercial operations.

Key Responsibilities
  1. Property & Lease Administration
  • Maintain a centralised register of all property leases, including key dates, rent reviews, and expiry milestones
  • Prepare, review, and file lease-related documentation in accordance with company standards
  • Coordinate communications with landlords, property agents, and external legal counsel
  • Support the Commercial Operations Manager with lease renewal negotiations by preparing relevant documentation and briefing materials
  • Ensure all lease documents are stored accurately in the company's document management system
  1. Store Onboarding Administration
  • Coordinate all administrative elements of the new store opening checklist
  • Manage onboarding timelines, track task completion, and escalate risks to the manager
  • Ensure all new store documentation (contracts, utility accounts, insurances) is in place prior to opening
  • Conduct post-opening reviews and update onboarding documentation as required
  1. Utilities & Insurance Management
  • Manage electricity and other utility account set-ups and transfers for all stores
  • Coordinate annual insurance renewals, including public liability, property, and contents insurance
  • Maintain a utility and insurance register for all sites, keeping records current
  1. General Commercial Operations Support
  • Provide general administrative support to the Commercial Operations team as required
  • Assist in the preparation of reports, presentations, and management updates
  • Maintain process documentation, templates, and registers to ensure best practice administration
Key Performance Indicators
  • Accuracy and completeness of the lease and property register (target: 100% current at all times)
  • Timeliness of store acquisition application submissions and approvals
  • New store onboarding completed on schedule and without administrative delays
  • Utility account set-ups completed prior to each store opening date
  • Insurance renewals actioned with no lapses in coverage

Selection Criteria

Essential
  • Minimum 2 years of experience in a commercial administration, property coordination, or operations support role
  • Demonstrated ability to manage multiple competing priorities and deadlines
  • Strong written and verbal communication skills, with the ability to liaise professionally with internal and external stakeholders
  • High level of accuracy and attention to detail in documentation management
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
