Purchasing Officer (Food)

As a Purchasing Officer specialising in food procurement, you will play a crucial part in maintaining optimal inventory levels, managing supplier relationships, and ensuring cost-effectiveness across our food sourcing activities. This position is essential to our supply chain operations and directly impacts our ability to deliver quality products and services to our customers.

1. Sourcing, evaluating and selecting food suppliers based on quality, pricing, delivery schedules and reliability
2. Preparing and issuing purchase orders, ensuring accuracy in specifications, quantities and delivery requirements
3. Negotiating contracts and pricing with food suppliers to achieve competitive rates whilst maintaining quality standards
4. Monitoring supplier performance and maintaining strong vendor relationships to ensure consistent service delivery
5. Tracking and reconciling food inventory levels to prevent stockouts and reduce excess stock
6. Processing invoices, managing payment schedules and resolving any discrepancies or issues with suppliers
7. Maintaining accurate records of purchase orders, contracts and supplier information in the procurement system
8. Liaising with internal departments to understand food requirements and forecasting demand patterns
9. Ensuring compliance with food safety regulations and quality standards for all procured items
10. Identifying cost-saving opportunities and process improvements within the food procurement function

What we're looking for:

1. Proven experience in food procurement or purchasing within the food and beverage, hospitality, retail or manufacturing sectors (minimum 2-3 years preferred)
2. Strong knowledge of food products, quality standards and food safety regulations relevant to the Philippines
3. Excellent negotiation and vendor management skills with the ability to build and maintain positive supplier relationships
4. Proficiency in procurement systems and Microsoft Office applications (particularly Excel)
5. Strong analytical and problem-solving abilities with keen attention to detail
6. Excellent organisational skills with the ability to manage multiple orders and priorities simultaneously
7. Good communication skills in English and Filipino, with the ability to liaise effectively with internal and external stakeholders
8. Knowledge of import/export procedures and local sourcing options within the Philippines food industry
9. A proactive approach to cost control and process optimisation
10. Flexibility and willingness to support the purchasing team during peak periods
