Job Description:

This is an exceptional opportunity to become the right-hand support for a growing beauty business owner, playing a crucial role in managing daily operations across multiple business channels. You’ll work with comprehensive salon management systems, financial tools, and marketing platforms while handling the essential administrative backbone that keeps this dual-business model running smoothly.

This position offers the chance to make a significant impact by optimising business operations, managing data-heavy systems, and freeing up the business owner’s time to focus on growth and strategic initiatives. You’ll be working in a role where your organizational skills and tech-savviness directly contribute to the success of a business that’s making a difference in the natural hair care community.

Responsibilities:

  • Manage comprehensive email communications and inbox organization across business channels
  • Handle calendar management and coordinate meetings, events, and appointments
  • Oversee project management and task coordination for both e-commerce and salon operations
  • Conduct financial management activities including QuickBooks operations and monthly tracking
  • Manage travel arrangements and coordination for business activities
  • Perform KPI tracking and advanced spreadsheet updates with business metrics and performance data
  • Work with salon booking software (Fresha) for comprehensive system management including POS integration
  • Create engaging graphics and marketing materials using Canva for promotional campaigns
  • Utilize Google Workspace suite for various administrative functions and collaboration
  • Maintain dedicated availability during work hours with flexibility to adapt as business priorities shift
  • Handle repetitive and day-to-day administrative tasks to optimize business owner’s strategic focus time
Requirements
  • Proven experience in administrative or executive assistant roles
  • Strong technical proficiency with ability to master new systems quickly
  • Experience with salon management software, preferably Fresha booking and POS systems are highly preferred
  • Spreadsheet skills for data analysis, KPI tracking, and business metrics
  • Proficiency with Google Workspace suite (Gmail, Drive, Docs, Sheets, Calendar)
  • Experience with Canva
  • Familiarity with project management tools (Trello experience preferred)
  • Dedicated availability during established work hours with commitment to responsiveness
  • Ability to adapt quickly and reprioritize tasks as business needs evolve
  • Strong organizational skills and attention to detail in a fast-paced, multi-channel business environment
