Job Summary: We are looking for a detail-oriented Procurement Operations Specialist to serve as the primary engine for our global purchasing workflow. In this role, you will manage the end-to-end procurement lifecycle, from triaging initial requests in the Service Desk to maintaining clean, audit-ready Purchase Orders (POs) in Coupa.You will act as a key liaison between internal stakeholders and external suppliers, ensuring that procurement processes are seamless, compliant, and efficient.
Key Responsibilities- Intake & Transactional Support: Manage the procurement service desk (Fresh Service) to triage requests, validate policy compliance, and execute the creation and maintenance of Purchase Requisitions (PRs) and POs.
- PO Lifecycle & Hygiene: Perform ongoing PO administration, including correcting cost center coding, updating service periods, and leading critical month-end/quarter-end reconciliation and clean-up activities.
- Supplier Onboarding & Records: Drive the supplier onboarding process by collecting essential documentation (W-9s, banking info) and coordinating with AP and Security to maintain accurate vendor master data in Coupa.
- Systems & Process Support: Provide first-level technical support for procurement tools (Coupa, Navan) and manage internal communication channels to ensure inquiries are resolved according to documented SOPs.
- Experience: 2–3 years of experience in Procurement Operations, Purchasing, or a Shared Services environment.
- Technical Proficiency: Hands-on experience with Coupa is preferred; familiarity with Service Desk tools (e.g., Fresh Service) and Navan is a major plus.
- Process Mindset: Strong understanding of the P2P (Procure-to-Pay) cycle, PO reconciliation, and vendor documentation requirements.
- Analytical Skills: High attention to detail regarding GL coding, cost centers, and month-end financial "hygiene."
