- 3 to 5 years of experience as a Virtual Assistant or in a similar administrative role
- Proven experience as a Virtual Assistant or similar administrative role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in tools such as Google Workspace, Microsoft Office, and CRM systems
- Familiarity with social media platforms (Instagram, Facebook, Pinterest)
- Ability to work independently and meet deadlines
- Experience in landscaping, construction, or design-related industries
- Knowledge of project management tools (e.g., Trello, Asana, Monday.com)
- Basic graphic design skills (Canva or similar)
- Understanding of invoicing tools (QuickBooks, FreshBooks, etc.)
Responsibilities
Administrative Support- Manage calendars, appointments, and scheduling for consultations and site visits
- Organize and maintain digital files, project documents, and client records
- Prepare estimates, invoices, and basic reports
- Respond to emails, inquiries, and follow-ups in a timely and professional manner
- Coordinate with clients regarding project updates, appointments, and feedback
- Maintain CRM systems and update client information
- Assist with social media management (posting, responding to comments/messages)
- Help create and schedule content showcasing landscaping projects
- Support email marketing campaigns and promotions
- Assist in tracking project timelines and deliverables
- Communicate with vendors, suppliers, and subcontractors as needed
- Help ensure all project details are documented and updated
- Conduct online research for materials, trends, or suppliers
- Provide basic bookkeeping support (expense tracking, data entry)
- Handle ad hoc administrative tasks as needed
