WFH Accounts Receivable & Collections Specialist
Job Overview
Our client is seeking a detail-oriented, high-volume Accounts Receivable & Collections Specialist to manage the full billing lifecycle, from invoice creation to final payment reconciliation. This critical role acts as the financial anchor for a busy firm, ensuring accurate revenue tracking, tight debt containment, and pristine cash flow.
This is a fast-paced, high-volume, client-facing environment that requires a proactive, tech-savvy professional. You must be comfortable managing multiple data systems simultaneously while confidently initiating professional collections conversations to clear stale balances.
Schedule- Monday – Friday, 8:30 AM – 5:30 PM US Eastern Time (EST), including a 1-hour unpaid break (40 hours per week)
Responsibilities
Full-Lifecycle Billing & Payment Application- Invoicing Infrastructure: Prepare, review, and issue recurring and project-based client invoices using CCH Axcess and QuickBooks Online in accordance with strict firm guidelines.
- Payment Processing: Securely manage, match, and record incoming payments via ACH processing platforms (JP Morgan Chase), merchant credit card terminals (SwipeSimple), and traditional checks.
- Ledger Synchronization: Ensure precise daily application of payments across a multi-system layout to maintain completely accurate, audit-ready financial records.
- Discrepancy Auditing: Promptly investigate and resolve billing errors, declined corporate credit cards, or misapplied funds through close internal team coordination.
- Aged Debtor Management: Routinely audit AR aging reports to target, track, and resolve outstanding balances or stale client accounts.
- Assertive Outreach: Execute professional, confident, and highly persuasive phone calls and email campaigns to collect stale, overdue balances.
- Client Relations: Serve as the central point of contact for all incoming billing inquiries, providing clear solutions via Microsoft Teams, phone, and email.
- Month-End Reconciliation: Balance all receivable channels, generate comprehensive collection metrics, and assist the core accounting team with the month-end close process.
- AR Footprint: 2+ years of dedicated professional experience managing high-volume billing, corporate accounts receivable, or commercial collections pipelines.
- Industry Domain: Strong preference for candidates who have worked inside an active accounting firm, CPA office, or professional services corporate structure.
- Software Fluency: Deep, hands-on operational proficiency using QuickBooks Online.
- Telephony & Eloquence: Exceptional spoken and written English communication skills, with the professional eloquence needed to confidently handle delicate payment disputes over the phone.
- Multi-System Agility: Proven capacity to work fluidly across parallel business systems (billing ledgers, payment gateways, and team chat channels) without drop-offs in data integrity.
