As part of our continued growth, we are seeking a capable and personable Sales Administration Assistant to join a growing academic institution in Australia. Working closely with the Sales Manager and the senior sales team, this role sits at the front of the sales process, converting genuine inbound interest into booked consultations and supporting the administrative engine that sits behind each sale.
This is an inbound, relationship-led role with no cold calling. Every person the successful candidate speaks with has already reached out to us, whether by phone or through our website. The opportunity suits a professional who is articulate, organised, and personable, comfortable holding a warm, professional conversation and equally comfortable working through structured administrative tasks with accuracy.

Supporting continued growth, we are looking for a full-time Sales Administration Assistant, working offshore and remotely in the Philippines, to take ownership of inbound enquiry handling, consultation booking, and proposal and contract preparation.This role is suited to someone who can confidently lead a booking conversation, protect our closers' time by qualifying genuine opportunities, and manage the administrative tasks behind each sale with accuracy and reliability.
Key responsibilities include:
Inbound and Follow-Up Communication- Answering inbound phone enquiries promptly and professionally
- Performing callbacks for enquiries submitted through our website
- Conducting follow-up calls and re-engaging warm leads who have previously expressed interest
- Booking prospects directly into a formal consultation with one of our sales closers, leading the booking conversationally rather than redirecting them to self-book online e.g. conducting booking conversationally such as “May I take your name?”, “Here are the times we have available this week…”
- Booking suitable prospects into consultations with our sales closers
- Sensibly filtering out enquiries that are clearly not a good fit, so our closers' time is protected for genuine opportunities
- Working within our Ignition software to prepare client proposals based on the needs identified during calls
- Listening to call recordings or reading transcripts, where required, to correctly identify which program a client is purchasing, and drafting the corresponding contract accurately
- Preparing contracts for review initially, then progressing to preparing and sending contracts independently once accuracy and reliability are demonstrated
- Maintaining accurate, up-to-date tracking of sales numbers and pipeline activity for the Sales Manager to report on
- Exceptional spoken and written English, which is the most important criterion for this role and will be screened rigorously before any candidate is put forward
- Clear, natural, and confident spoken English, with a neutral, US, or Australian-leaning accent strongly preferred (treated as a tiebreaker rather than a deal-breaker)
- Excellent written English, including correct grammar, a professional tone, and the ability to draft clear client-facing documents without supervision
- Prior 3+ years of experience in sales support, appointment setting, customer service, or a closing-adjacent role is highly desirable
- Must have at least a relevant bachelor's degree in a relevant field
- A warm, professional, and confident phone manner, with the ability to build rapport quickly
- Strong organisation and attention to detail, particularly with contracts and numbers
- Comfortable with software tools, with prior experience using Ignition, a CRM, or similar proposal or contract systems considered an advantage
- Reliable, self-directed, and able to work to a consistent standard without close supervision as trust is established
- Resilient and able to handle both repetitive tasks and complex, fast-moving projects with equal professionalism
- Highly detail-oriented with strong organisational and time management skills
- Driven to grow and build a long-term career in administration and business operations
- Self-motivated and able to work independently with minimal supervision in a remote setup
- Solution-focused mindset including being able to troubleshoot problems and find practical answers with limited resources
Please note: candidates who are strong administrators but not highly fluent in English are not suitable for this role.
