Job Summary
The Fleet Coordinator is responsible for overseeing and managing the company’s fleet operations to ensure vehicles are properly maintained, utilized efficiently, and operated safely. The role coordinates vehicle maintenance, monitors driver performance, ensures regulatory compliance, and tracks fleet performance.The Fleet Officer plays a critical role in optimizing operational efficiency, controlling costs, and maintaining safety standards across all fleet activities.
Key Responsibilities- Fleet Management
- Coordinate acquisition, leasing, and disposal of company vehicles.
- Maintain accurate records of vehicle registration, insurance, and maintenance history.
- Monitor vehicle utilization and recommend improvements for operational efficiency.
- Ensure availability of vehicles to support operational requirements.
- Maintenance Coordination
- Schedule preventive maintenance and repairs for fleet vehicles.
- Conduct regular inspections to identify and address potential issues.
- Coordinate with service providers and vendors for timely maintenance.
- Ensure vehicles are safe, roadworthy, and compliant with company standards.
- Driver Management
- Ensure drivers possess valid licenses and required qualifications.
- Conduct safety briefings and training on operational procedures.
- Monitor driver performance, attendance, and compliance with policies.
- Provide feedback to improve safety and efficiency.
- Compliance & Safety
- Ensure compliance with government regulations and company policies.
- Implement vehicle safety standards and usage guidelines.
- Investigate vehicle accidents and incidents.
- Recommend corrective actions to prevent recurrence.
- Fleet Performance Monitoring
- Track fleet metrics such as fuel consumption, mileage, and maintenance costs.
- Analyze performance data to identify efficiency improvements.
- Prepare regular fleet performance reports for management.
- Recommend cost-saving and operational improvements.
- Budget Monitoring
- Assist in preparing and managing fleet-related budgets.
- Monitor expenses and ensure cost control.
- Identify opportunities for cost savings without affecting operations.
- Technology Utilization
- Use fleet management systems to monitor vehicle usage and maintenance schedules.
- Maintain updated fleet tracking records.
- Recommend new technologies to improve fleet efficiency and monitoring.
- Bachelor’s Degree in Logistics, Transportation, Business Administration, or related field.
- Proven experience in fleet management or a similar role is preferred.
- Strong knowledge of vehicle maintenance and repair processes.
- Excellent organizational and multitasking skills.
- Strong analytical and problem-solving abilities.
- Proficient in fleet management software and MS Office applications.
- Good communication and interpersonal skills.
- Knowledge of safety regulations and compliance requirements.
- Valid driver’s license is an advantage.
