DOCUMENT CONTROLLER

Responsible for utilizing document management software to maintain, organize, and retrieve accurate and up to date records of all project documents.
  • Ensure the engineering deliverables are accurate, complete and adhered to established procedures.
  • Maintain document distribution matrix to ensure controlled copies of the latest drawings and documents are properly distributed.
  • Prepares and issues internal and external transmittals for client, vendor and project team.
  • Performs document quality checking for accuracy, completeness in compliance to project procedures.
  • Manage the document/drawing review process, internal and external.
  • Expedite responses to transmittals sent for review/comment.
  • Filing and maintaining of document records. Prepares monitoring tracker of all documents received, master drawings list, internal and external.
  • Coordinate and set up meetings, prepare meeting notes and produce reports on documentation and progress as requested.
  • Provides clerical and administrative support to Engineering Manager, Senior Project Manager, Project Manager and the Project Management department.
  • Other duties may be assigned as deemed necessary by the supervisor.

JOB QUALIFICATIONS:

  • Has a Bachelor’s degree in any field; an engineering degree is preferred but not required.
  • Has at least five years of experience in project support or document control. Experience working on engineering or EPC projects is preferred but not required.
  • Has excellent interpersonal skills including the ability to work as part of the team.
  • Proficient in MS Office Suite (Outlook, Word, Excel, and PowerPoint). Skilled in using Adobe, BlueBeam, and SharePoint.
  • Proficiency in Aconex and Autodesk Construction Cloud is preferred but not mandatory.
  • Detail-oriented with the ability to prioritize deliverables effectively for timely processing.
  • Has an above average oral and written communication skills.
  • Must have problem solving skills, strives to understand contributing factors, and works to resolve complex situations with appropriate management.
  • Must be dependable by meeting deadlines, possesses accountability, focused, punctual, and has good attendance record management.
  • Must be able to maintain a professional attitude and be able to work independently or as a team member when needed.
