Purchasing Specialist is responsible for sourcing, purchasing, and coordinating the timely delivery of materials, equipment, and services required by the company. The role ensures cost-effective procurement while maintaining quality standards, supplier relationships, and compliance with company purchasing policies.

Duties and Responsibilities
  • Source, evaluate, and negotiate with suppliers to obtain the best quality products and services at competitive prices.
  • Prepare, process, and monitor Purchase Requisitions (PRs), Purchase Orders (POs), and other procurement-related documents.
  • Obtain and compare supplier quotations to ensure cost-effective purchasing decisions.
  • Monitor the status of purchase orders and coordinate with suppliers to ensure on-time delivery.
  • Coordinate with warehouse and requesting departments to ensure the availability of required materials and supplies.
  • Verify purchase orders, invoices, delivery receipts, and other procurement documents for accuracy.
  • Develop and maintain strong relationships with accredited suppliers and evaluate vendor performance.
  • Resolve issues related to delayed deliveries, damaged goods, incorrect shipments, and supplier discrepancies.
  • Monitor inventory levels and coordinate replenishment to prevent stock shortages or overstocking.
  • Maintain accurate procurement records, supplier databases, contracts, and purchasing files.
  • Prepare procurement reports, cost analyses, and supplier performance reports for management.
  • Identify opportunities for cost reduction and process improvement while maintaining quality standards.
  • Ensure compliance with company procurement policies, procedures, and ethical purchasing practices.
  • Assist in supplier accreditation, contract negotiations, and procurement planning.
  • Coordinate with Finance and Accounting regarding payment processing and procurement documentation.
  • Perform other purchasing and procurement-related duties as assigned by management.
Qualifications
  • Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Industrial Engineering, or a related field.
  • At least 1–2 years of experience in purchasing, procurement, or supply chain management is preferred.
  • Strong negotiation, analytical, and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office applications, particularly Excel; experience with ERP or procurement systems is an advantage.
  • Knowledge of procurement processes, vendor management, and inventory control.
  • Ability to work under pressure, manage multiple priorities, and meet deadlines.
  • High level of integrity, attention to detail, and organizational skills.
  • Willing to coordinate with suppliers and travel for business-related transactions when necessary.
