We are looking for a highly organized and proactive Office Assistant to join our team. The ideal candidate will have strong attention to detail, the ability to manage inventory and logistics, and a proactive approach to improving current processes.
This role involves overseeing office operations, ensuring compliance, and supporting overall office efficiency.
Key Responsibilities:
- Inventory Management: Conduct a full inventory count at the end of every workday. Calculate expected inventory levels based on received shipments and withdrawals. Reconcile discrepancies and develop tools for accurate inventory tracking and reconciliation.
- Stock Withdrawal Verification: Ensure that stock withdrawals match the pick lists, verifying the accuracy of all withdrawals.
- Returned Stock Management: Monitor returned stock, ensuring proper processing and storage in accordance with company protocols.
- Warehouse Operations: Oversee the day-to-day operations of the warehouse, identifying areas for improvement and implementing necessary changes to optimize workflow.
- Permit Acquisition: Obtain all necessary permits for incoming shipments to ensure compliance with local regulations and smooth operations.
- Financial Management: Deposit collections and prepare daily sales and deposit reports. Ensure timely and accurate documentation of all financial transactions.
- Invoice and Receipt Reconciliation: Reconcile invoices with official receipts daily, ensuring accuracy and completeness. Properly file invoices and receipts in an organized system for easy access.
- Premises Maintenance: Ensure the office premises are properly cleaned and well-maintained, adhering to hygiene and safety standards.
- Additional Tasks: Take on other responsibilities as assigned by management to support office operations.
Key Requirements:
- Strong attention to detail with a focus on accuracy and accountability.
- Ability to take initiative and identify areas for process improvement.
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Basic understanding of inventory management, warehouse operations, and financial reporting.
- Ability to rapidly learn required skills.
- Proficient in Microsoft Office or similar tools for reporting and tracking purposes.
- Good penmanship.
Initiative and Process Improvement:
- Proactively suggest and implement improvements to existing office processes, aiming to streamline operations and increase efficiency.
- Maintain compliance with company policies, regulations, and industry standards, ensuring all practices align with current procedures.
