Job Description:

The purpose of the Administration Officer role is to support the company’s operation as a group of Registered Training Organisations through the completion of assigned tasks relating to the timely processing of school communications and information flow, processing student results and providing support to compliance and national reporting requirements.

Under the direction of the Administration Co-Managers, Administrators perform their duties conforming to all relevant systems, policies, processes and work instructions in the company’s controlled documents.

This position reports to the Administration Co-Managers.

Key Responsibilities:

  • Assist in the administration of national and state compliance frameworks relevant to the RTO.
  • Maintain the RTO systems used by the Company group of RTOs:
  • Student Management System, including USI verification and Learner Satisfaction Survey.
  • Customer Management System notes relating to all Partner School communication
  • Shared documents and tracking sheets
  • Learning Management System (enrolments, unit changes)
  • Process webform submissions and other communications from Partner School teaching or admin staff in accordance with company processes.
  • Monitor and action items as required, relating to Partner School teaching or admin staff.
  • Resolve all enquiries received from auspiced schools, including White Card certification and invoicing.
  • Processing of results approval and issuance of Certificates and Statement of Attainments within appropriate turnaround times.
  • Participate in company’s annual Performance Development Plan process.
  • Attend and actively participate in all company scheduled meetings, communication events and professional development activities.
  • Any other tasks assigned which may be reasonably requested from time to time which contribute to the success of the organisation.

Qualification and requirements:

  • Independent organisation and time management skills.
  • Knowledge and previous experience using Gmail and Google Drive (desirable)
  • Competent to understand and accept responsibility for the processes in which they are involved and ensure quality in all tasks performed representing the company.

Non-negotiable skills & requirements:

  • Intermediate proficiency across Microsoft Office platforms.
  • Written and oral communication skills commensurate with level of role.
  • 2yrs+ experience within an administration environment.Fun and loving heart
