Job Description

SITE LOCATION: Brgy. Maribago, Tambuli, Lapu-Lapu, Cebu

JOB DESCRIPTION:

• Provide regular updates to the operations head and board of trustees, or landlord.
• Conduct regular property inspections to ensure operational equipment, compliance with house rules, proper implementation of instructions, and adherence to company standards.
• Lead regular meetings with the property management team to report issues, disseminate instructions, discuss risks, and explore improvements.
• Maintain a 24-hour communication system to relay incidents and ensure prompt resolution of urgent matters.
• Enforce and regularly review house rules; recommend revisions when needed.
• Oversee security operations, ensuring orientation of guards, regular inspections, proper incident reporting, service quality improvement, and compliance with service agreements.
• Supervise housekeeping to maintain cleanliness, ensure staff orientation, prompt incident reporting, and adherence to the service agreement.
• Develop and implement systems for maintenance and monitoring of equipment and facilities, including preventive maintenance, fire safety, utilities, energy, and waste management.
• Ensure compliance of technical and maintenance agencies with service agreements.
• Communicate fire safety plans and ensure guidelines are followed by tenants and staff.
• Secure ideal insurance coverage for the property.
• Prepare and implement energy-saving programs in coordination with tenants and technical teams; track and report cost savings.
• Ensure all government permits, licenses, and legal requirements are up to date and properly filed.
• Maintain ISO-compliant documentation, submit accurate and timely reports, and manage inventory.
• Coordinate and prepare requirements for meetings with the board or landlord.
• Manage service provider contracts, monitor performance, and ensure quality and compliance.
• Monitor revenue and expenses, ensure accurate billing and efficient collections, and prepare monthly financial reports.
• Develop annual and long-term budgets and enhancement plans.
• Oversee fund balances, ensure timely deposits, and prepare cash reports prior to disbursements.
• Supervise and coach the team to ensure efficiency and proper information flow.
• Contribute to performance improvement strategies and team objectives.
• Maintain regular communication with landlords, tenants, and stakeholders to build strong relationships.
• Monitor satisfaction ratings and ensure delivery of quality service to clients.
• Propose process improvements for better property management service delivery.
• Participate in company activities, trainings, and corporate meetings.

Qualifications/Requirements

• Bachelor’s/College Degree in Civil/Electrical/Mechanical Engineering, Professional License (Passed Board/Professional License Exam)
• With at least 2 years of work experience in the property management industry
• Willing to work on-site in Tambuli, Cebu
• Experience in handling residential or condominium property is an advantage
