AI & BUSINESS SYSTEMS SPECIALIST
We are a rapidly growing group of companies operating across shipbuilding, manufacturing, marine services, trading, and consumer brands. As we continue to expand, we are seeking an AI & Business Systems Specialist to help modernize our operations through artificial intelligence, automation, and digital productivity tools.
Position Overview
The AI & Business Systems Specialist will be responsible for implementing, maintaining, and continuously improving digital systems that increase efficiency, accountability, and productivity across the organization.
This role will work directly with management and department teams to deploy AI tools, optimize workflows, automate repetitive tasks, train users, and ensure successful adoption of company-wide systems.
Key Responsibilities- Lead implementation and optimization of ClickUp, Hubstaff, and other productivity platforms.
- Develop and improve workflows for Engineering, Operations, Purchasing, HR, Accounting, Sales, and Marketing teams.
- Identify repetitive processes that can be automated using AI and automation tools.
- Build dashboards, reporting systems, and KPI tracking mechanisms.
- Create standard operating procedures (SOPs), process maps, and user guides.
- Conduct employee training sessions and workshops.
- Provide ongoing support to departments using AI and digital tools.
- Monitor system adoption and ensure compliance with company processes.
- Recommend new technologies and productivity solutions that improve business performance.
- Work closely with management to improve operational efficiency and accountability.
- Minimum 3 years of experience in business systems implementation, digital transformation, process improvement, operations excellence, or automation.
- Strong experience with ClickUp, Hubstaff, Notion, Monday.com, Asana, Jira, or similar platforms.
- Experience using AI tools such as ChatGPT, Claude, Gemini, Microsoft Copilot, or similar technologies.
- Familiarity with automation platforms such as Zapier, Make.com, or Power Automate.
- Strong analytical and problem-solving skills.
- Excellent communication and training abilities.
- Ability to work independently and drive projects from planning through implementation.
- Experience in engineering, construction, manufacturing, shipbuilding, logistics, or multi-company organizations.
- Experience creating KPI dashboards and performance tracking systems.
- Basic understanding of APIs and software integrations.
- Experience managing change and user adoption across teams.
