ROLE PURPOSE
The operations manager is responsible for the hands-on execution of key operational functions across international and domestic markets, with a strong focus on stock management, forecasting, systems oversight, reporting, and process execution.This role supports the Operations Director by taking ownership of daily, weekly, and monthly tasks, enabling the broader team to operate more efficiently and strategically. The ideal candidate has strong attention to detail, is confident working across multiple systems, and thrives in a fast-paced, high-performance environment.

- Maintain and optimise operational systems across platforms to support accuracy and efficiency
- Deliver timely and accurate reporting and reconciliation to support business decision-making
- Coordinate international operations and logistics to support global market execution
ROLE & RESPONSIBILITIES
Manage inventory, forecasting and purchasingEnsure accurate inventory management and forecasting across domestic and international channels.
- Monitor and reconcile stock on hand (SOH) across BigCommerce, Fishbowl, CargoNXT and Coghlan
- Create and maintain purchase orders; send to suppliers and confirm production and delivery timelines
- Set up and manage SKUs and barcodes in all relevant systems
- Prepare monthly demand forecasts, including spare parts, in collaboration with customer care
- Review warranty and FOC orders to identify product or quality trends
- Coordinate stock movements and pickups with warehouses and distributors
- Communicate weekly stock updates to marketing, customer care and events teams
- Track supplier lead times and delivery performance
- Flag delays or inconsistencies and escalate when needed
Support the ongoing setup, accuracy and performance of key operational platforms.
- Set up and manage SKUs, ASNs and stock data in BigCommerce, Fishbowl, CargoNXT and Coghlan
- Troubleshoot and escalate system issues as the first point of contact; liaise with external vendors where needed
- Perform regular reconciliation of stock and order data across platforms
- Maintain and update Sanity platform content including product information, translations and videos
- Upload video content to Vimeo and integrate into Sanity
- Support the scoping and implementation of a new ERP system
- Periodically review and clean up data in operational systems
- Document standard operating procedures (SOPs) for core tasks, including PO creation, SKU setup, and freight booking
- Identify opportunities to streamline or automate recurring manual processes
Own the preparation of operational reports and reconciliation activities across key business systems.
- Reconcile orders and payments across BigCommerce, Fishbowl, Facebook and Airwallex
- Review bundle and kit orders and ensure product accuracy
- Upload and reconcile distributor invoices and monthly sales
- Maintain the international sales tracker by SKU and revenue
- Review and verify invoices from Australian and international 3PLs
- Analyse returns, warranty and FOC orders and identify recurring issues or opportunities
- Prepare ad hoc and monthly reports to support operational visibility
- Maintain an operational issue log to track, resolve and escalate recurring problems (e.g. late shipments, system bugs, data errors)
Support the execution of international market activities across freight, distributor orders and events.
- Check international order details in CargoNXT and coordinate distributor updates and warehouse pickups
- Book international freight shipments and prepare required documentation (e.g. bill of lading, statutory declarations)
- Review QC reports and confirm shipping readiness with suppliers
- Upload and reconcile invoices in Airwallex for international partners
- Assist with coordination of consumer trade events including show logistics, electricity bookings, and goods movement
