About the Role

We are partnering with a well-established Australian-based owners corporation and strata management business that provides professional management services across a diverse portfolio of properties.

We are seeking a detail-oriented Administration Assistant to provide dedicated administrative support to the Owners Corporation Managers (OCMs) within the business. This is a backend support role focused on processing the day-to-day administrative workload that keeps a busy strata portfolio running — from preparing Notices of Meeting and managing post-AGM action items, through to overseeing maintenance jobs, recurring compliance tasks, and insurance renewals.

This role is ideal for an experienced strata or body corporate administrator who is highly organised, accurate, and takes genuine pride in following work through to completion. You will play a critical part in improving manager productivity, removing administrative pressure points, and ensuring repeatable processes are applied consistently across the business.

Key Responsibilities
  • Prepare Notices of Meeting for Annual General Meetings, coordinating inclusions with Owners Corporation Managers to ensure accuracy and compliance with legislative requirements
  • Receive AGM minutes from managers, extract instructions, and create corresponding tasks in the business’s software platform, tracking each item through to completion
  • Apply consistent post-AGM workflows to ensure follow-up actions are completed accurately and on time
  • Monitor maintenance jobs from creation through to closure, liaising with contractors and managers to progress works and confirm completion
  • Close out maintenance jobs in the software platform and maintain up-to-date job status records
  • Review, action and update recurring maintenance tasks, tracking cyclical compliance items and ensuring servicing is completed on schedule
  • Assist with maintaining a master list of annual insurance renewal dates across all portfolios, tracking quotation deadlines and preparing renewal quotations for managers to send to committees
  • Perform accurate data entry across property details, tasks, meetings, recurring maintenance and action items
  • Provide ad hoc administrative and maintenance support to Owners Corporation Managers as required
  • Communicate professionally with managers, contractors, suppliers and other stakeholders via email and other platforms
  • Work to defined KPI timeframes — for example, processing quotations and AGM minutes within 3 business days, and emails within 2 business days
Requirements & Skills
  • Minimum 2 years’ previous experience in strata, body corporate or owners corporation administration is essential
  • 2–3+ years’ overall experience in administration and/or customer service
  • Strong written and verbal English communication skills, with a focus on delivering exemplary customer service
  • Excellent attention to detail, accuracy and quality assurance — committed to completing work to the highest standard
  • A strong sense of urgency and excellent time management, with a demonstrated ability to meet KPIs, goals and deadlines
  • Great initiative and strong critical thinking skills, with the ability to identify what needs to be actioned before being asked
  • High level of computer literacy, including the Microsoft Office suite, with the ability to learn new software platforms (e.g. strata management software, job and maintenance tracking systems)
  • Ability to work both independently and as part of a team
  • Ability to work Australian Eastern Standard Time (AEST) / Australian Eastern Daylight Time (AEDT) business hours
