Job Purpose:

The Event Coordinator will be responsible for organizing and executing a wide range of events for VIP clients. This role involves working closely with partners, vendors, and internal teams to ensure every aspect of the event runs smoothly and meets event objectives.

The Event Coordinator will manage logistics, communication, timelines, and budgets to ensure the event is successful from start to finish.

Job Description:

 A.  Event Planning & Execution

Develop event concepts, design event programs, and coordinate all aspects of event planning.

Coordinate with all staff, vendors, and volunteers to ensure timely execution of tasks.
Manage event setup, execution, and breakdown, ensuring everything is done as per the plan.

 B.  Budget and Resource Management

Develop and manage event budgets, ensuring costs are kept within the client’s budget.

Track expenses and adjust plans as needed to stay within financial limits.
Recommend cost-effective solutions while maintaining quality and client expectations.

 C.  Vendor & Logistics Management

Identify, negotiate with, and manage vendors, suppliers, and contractors (e.g., caterers, decorators, audio-visual teams).

Ensure that vendors deliver services according to contracts, timelines, and quality expectations.
Resolve any vendor-related issues before, during, and after the event.
 D.  Administrative Responsibilities
Compliance with Company Policy and Procedure and internal procedure.

 E.  Compliance with Company Policy and Procedure and Attendance

Job Requirements: Bachelor’s degree in Event Planning, Hospitality Management, Marketing, or a related field (preferred).

Minimum of 2-3 years of experience in event planning or coordination.
Experience with vendor management and contract negotiations.
Excellent organizational and time-management skills with a keen eye for detail.
Strong communication and interpersonal skills, with the ability to work cross-functionally with various teams.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).

Flexible hours, including evenings and weekends, may be required depending on event schedules.
