We are looking for a highly experienced Virtual Executive Assistant who can also function as a Lead Generation & Marketing Specialist. This is a dynamic, dual-role position supporting the company owner while also driving growth through CRM management, follow-ups, and client care.
- About the Role
You will act as the owner’s right hand—managing communications, schedules, research, and client care—while also supporting sales, marketing, and operational tasks. This role requires someone who is tech-savvy, detail-oriented, and comfortable working closely with the business owner (often via screenshare and video instructions).
- Executive Assistant Responsibilities
- Answer incoming calls and emails with professionalism
- Manage calendars & schedule appointments
- Research and source products/vendors
- General client care and administrative support
- Light bookkeeping & heavy data entry (updating spreadsheets, logging transactions, reconciling simple records)
- Frequently screenshare with the owner to tweak settings in CRMs, edit/create documents, or update templates
- Maintain organized digital filing systems for documents and templates
- Review Loom video instructions from the owner to:
- Research step-by-step solutions for using new tools or workflows
- Troubleshoot reported software bugs
- Escalate technical issues to the software company’s support team when needed
- Provide proactive support by anticipating needs and offering solutions
- Minimum of 3 years proven experience as an Executive Assistant, Administrative VA, or similar role
- Exceptional proficiency in U.S. English (written and spoken)
- Strong organizational & time management skills
- Proficiency with Google Workspace / Microsoft Office (Docs, Sheets, Slides, etc.)
- Comfort with data entry and light bookkeeping tasks
- Tech-savvy and able to quickly learn new tools/software
- Experience communicating with software tech support teams
- Detail-oriented with proactive problem-solving
- Professional phone and email etiquette
- Lead Generation & Marketing Responsibilities
- Manage and update CRM systems (HubSpot, Salesforce, or similar)
- Create and manage email drip campaigns
- Experience with email/SMS marketing tools (Mailchimp + at least 2 others such as Klaviyo, ActiveCampaign, Constant Contact, etc.)
- Follow up with leads consistently via email, calls, or CRM automation
- Support sales team with prospecting and pipeline management
- Track, organize, and update lead data for accuracy
- Strong knowledge of CRM platforms (HubSpot, Salesforce preferred)
- Experience in email and SMS marketing automation
- Ability to write and edit clear, engaging email campaigns in native-level U.S. English
- Strong follow-up and relationship-building skills
- Familiarity with marketing funnels and lead nurturing strategies
- Job Type & Requirements
- Full-time: Monday – Friday
- 8:00 AM – 5:00 PM Pacific Time (U.S.)
- 11:00 PM – 8:00 AM Philippine Time (Night shift in PH)
- Must have reliable internet and a quiet work environment
- Must be comfortable with frequent live collaboration/screenshare sessions and video task instructions (Loom)
- Strong initiative, resourcefulness, and accountability required
- Compensation & Benefits
- Pay Range: $600 – $1,000 USD/month (depending on experience)
- Annual Bonus: One month’s salary, paid on your work anniversary each year
- Paid Time Off:
- All U.S. Federal Holidays are paid holidays
- After 1 year of service, you will receive 40 hours of personal time off (to be used at your discretion per company policy, excluding blackout periods during our busy season from January 15 – April 15)
