We are looking for a highly organized and customer-focused Receptionist / Order Entry Specialist with experience in customer service, order processing, and administrative support. This role serves as the primary point of contact for customers, handling inbound inquiries, providing order updates, and ensuring an excellent customer experience.The position is responsible for accurately processing online orders by transferring information from BigCommerce into QuickBooks Desktop, verifying customer and order details, maintaining data accuracy, generating operational reports, and supporting leadership with administrative and reporting tasks.
The ideal candidate thrives in a fast-paced environment, demonstrates strong attention to detail, and can effectively manage multiple priorities while maintaining high levels of accuracy and professionalism.
You will provide the best service to our partner brands by performing these tasks:
- Answer inbound calls professionally and serve as the first point of contact for customers.
- Route customer calls, requests, and inquiries to the appropriate departments or team members.
- Provide exceptional customer service and maintain a positive customer experience.
- Respond to customer inquiries regarding order status, tracking information, order modifications, and general account or product-related questions.
- Document customer communications, inquiries, and follow-up actions accurately.
- Process online orders by entering data from BigCommerce into QuickBooks Desktop.
- Review and validate orders for completeness, accuracy, pricing, product information, customer details, and shipping information.
- Ensure timely and accurate order processing while maintaining data integrity.
- Generate and maintain daily, weekly, and monthly reports.
- Assist with sales reporting, commission reporting, and dashboard updates.
- Maintain organized digital records, documentation, and operational data.
- Support administrative projects, data entry activities, tracking functions, and reporting requirements.
- Provide administrative and operational support to leadership and internal teams.
- Bachelor's degree or relevant educational background preferred.
- 1-3 years of experience in reception, front desk support, customer service, order processing, order management, or administrative support.
- At least 6 months of hands-on experience with QuickBooks Desktop.
- Experience managing professional inbound phone communications and customer inquiries.
- Experience working with BigCommerce, Shopify, WooCommerce, Magento, or similar e-commerce platforms is preferred.
- Experience generating business reports, sales reports, commission reports, or dashboard updates.
- Familiarity with Customer Relationship Management (CRM) systems.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
- Strong data entry, order validation, and record management skills with a high degree of accuracy.
- Excellent verbal and written English communication skills.
- Strong organizational, time management, and multitasking abilities.
- Professional and friendly customer service and telephone etiquette.
- Strong attention to detail and commitment to accuracy.
- Ability to learn new systems, tools, and processes quickly.
- Ability to manage competing priorities in a fast-paced environment.
