VirtueStaff is seeking a detail-oriented and proactive Experienced Commercial Property Admin Assistant to support our clients in managing their commercial properties. This role is ideal for someone with a strong background in commercial property management and administrative tasks, who is committed to providing excellent service and ensuring efficient operations.
Responsibilities- Research commercial properties and find ownership information
- Market current listings
- Backtrace or skip trace to find contact info of property owners
- Make calls to commercial property owners
- Provide administrative assistance, including reminders on important dates
- Assist with the administration and management of commercial properties, including ensuring compliance with regulations and policies
- Serve as a liaison between property owners, tenants, and service providers
- Maintain accurate records of property maintenance, inspections, and tenant interactions
- Support the leasing process by preparing documents, processing applications, and conducting tenant screenings
- Coordinate property maintenance and repair requests, ensuring timely resolutions
- Manage tenant communications, addressing inquiries and concerns professionally
- Assist in the development and implementation of marketing strategies for vacant properties
- Prepare reports and presentations for property management purposes
- Stay updated on local property management regulations and market trends
- Minimum 2 years of experience in administrative support within the commercial property management sector
- Strong understanding of commercial property management practices and terminology
- Experience with commercial property research, including finding ownership and contact information
- Proven ability to market current listings and perform property skip tracing
- Experience with appointment setting and providing general administrative assistance, including managing reminders
- Excellent organizational skills and attention to detail
- Proficient in Microsoft Office Suite and property management software
- Outstanding verbal and written communication skills
- Ability to multitask and manage time effectively in a remote workspace
- High level of professionalism and ability to handle confidential information
- Proactive problem-solving skills and a customer-oriented approach
- Experience in a remote environment preferred
