Role Overview

We are looking for a reliable, organized, and practical General Assistant with a background or working knowledge in construction, engineering, property maintenance, or site operations.

The successful candidate will support day-to-day administrative, operational, and project-related tasks. This role is ideal for someone who understands construction or engineering terminology, can coordinate with contractors and suppliers, and is confident assisting with documentation, follow-ups, scheduling, and general project support.

Key Responsibilities

General Administrative Support
  • Provide day-to-day administrative support to managers, engineers, project teams, or site staff.
  • Prepare, organize, and maintain project files, reports, records, and documentation.
  • Draft emails, letters, forms, and basic reports as required.
  • Manage calendars, appointments, and meeting schedules.
  • Take meeting notes and follow up on agreed action points.
  • Maintain accurate trackers for tasks, projects, repairs, works, materials, and deadlines.
Construction / Engineering Support
  • Assist with coordinating construction, engineering, maintenance, or repair-related tasks.
  • Liaise with contractors, suppliers, engineers, surveyors, and internal staff.
  • Follow up on quotations, job updates, site progress, and outstanding works.
  • Help prepare and organise project documents, drawings, specifications, work schedules, and completion records.
  • Assist with basic site coordination and ensure updates are communicated clearly to the relevant team members.
Communication and Coordination
  • Act as a point of contact for general project or operational enquiries.
  • Communicate professionally with clients, contractors, suppliers, and team members.
  • Ensure emails, calls, and messages are responded to or escalated promptly.
  • Coordinate appointments, site visits, inspections, and contractor attendance.
  • Provide regular updates to managers regarding outstanding actions, delays, or issues.
Document and Compliance Support
  • Maintain organised digital and physical records for projects, works, and compliance documents.
  • Assist with collecting and filing certificates, permits, RAMS, insurance documents, warranties, and completion evidence.
  • Ensure records are accurate, up to date, and easy to access.
  • Support health and safety documentation where required.
  • Help ensure project paperwork is completed and submitted on time.
Operational Support
  • Assist with procurement of materials, tools, equipment, or services.
  • Obtain quotes and compare supplier or contractor information.
  • Track deliveries, purchase orders, invoices, and payment-related documents.
  • Support general office and site operations.
  • Carry out other reasonable administrative or operational duties as required.

Required Skills and Experience

The ideal candidate should have:

  • Good understanding of basic construction or engineering terminology.
  • Strong administrative and organizational skills.
  • Ability to manage emails, documents, trackers, and follow-ups.
  • Good communication skills, both written and verbal.
  • Confidence liaising with contractors, suppliers, and project teams.
  • Good attention to detail and ability to maintain accurate records.
  • Ability to manage multiple tasks and meet deadlines.
  • Good knowledge of Microsoft Office, including Word, Excel, Outlook, and Teams.
  • Ability to work independently and follow instructions accurately.
