Operations and Logistics Coordinator

Job Purpose

Provide the administrative and logistical backbone for event sustainability projects, ensuring every donated asset is accurately tracked from donor to recipient with complete precision.

• Salary: PHP 55,000 – PHP 60,000 (monthly, depending on experience)

Role Summary

Managed the end-to-end dispersal of event materials from live event projects to charities, community groups, schools, and social enterprises.

Operated in a high-tempo, administratively intensive environment, handling multiple concurrent projects while maintaining strict accuracy in data tracking, logistics coordination, and reporting.

Oversaw the full lifecycle of assets—from cataloging and charity research to logistics execution and final carbon impact reporting.

• Coordinated the full lifecycle of asset dispersal across multiple live event projects
• Managed logistics planning including collection schedules, delivery timelines, and transport coordination
• Maintained accurate tracking of assets across internal databases and reporting systems
• Conducted charity research, outreach, onboarding, and relationship management
• Acted as the primary liaison between corporate donors, logistics providers, and charity recipients
• Communicated detailed asset information (dimensions, weight, logistics requirements) to stakeholders
• Produced logistics documentation and delivery plans for external transport providers
• Created asset decks and digital catalogs (Google Slides/PowerPoint) for charity selection
• Ensured data integrity across all trackers for audit and reporting purposes
• Collected post-distribution case studies, photos, and usage reports from recipients
• Tracked logistics and asset data to calculate carbon emissions and environmental impact

• Multitasking & Deadline Management: Managed multiple concurrent projects with strict, non-negotiable timelines
• Data & Systems Management: Advanced use of Google Sheets/Excel; experience with CRM/CMS tools (e.g., HubSpot, Wix)
• Stakeholder Communication: Professional and confident communication with local and international stakeholders
• Logistics Coordination: Strong planning and documentation skills for transport and delivery operations
• Attention to Detail: Maintained high accuracy in data entry, tracking, and reporting

• Proven experience in project coordination, logistics, or high-level administrative support
• Background in events, creative industries, or similar fast-paced environments preferred
• Advanced proficiency in Google Workspace (Sheets, Drive, Gmail)
• Experience using CRM/CMS platforms (e.g., HubSpot, Wix)
• Strong problem-solving skills with a proactive and detail-oriented approach
• Ability to remain organized and composed under pressure
