Executive Legal Assistant - Makati

The Executive Assistant will provide comprehensive administrative and operational support to the Business Unit Head of the Property Group. This role demands a highly organized, detail-oriented professional capable of managing diverse responsibilities and ensuring the efficient execution of business processes.

Major Responsibilities
  • Review and route documents for approval and signature of the Business Unit Head
  • Monitor and evaluate existing systems and procedures across operating units
  • Recommend improvements to systems and procedures when necessary
  • Review legal documents including:
  • Joint Venture Agreements
  • Deeds of Absolute Sale
  • Lease Agreements
  • Service Agreements (Security, Janitorial, Pest & Termite Control, Repairs & Maintenance)
  • Review financial reports submitted by the Accounting and Finance departments
  • Review Monthly Business Review materials and EXECOM/MANCOM meeting documents
  • Attend monthly MANCOM meetings, take and transcribe minutes, and monitor follow-up actions
  • Coordinate instructions from the Business Unit Head to operating unit heads
  • Monitor property collection and occupancy rates
  • Oversee implementation of company rules and regulations within the Property Group
Minor Responsibilities
  • Prepare correspondence, memorandums, reports, and other documents
  • Schedule meetings and appointments
  • Safekeep files related to Property Group concerns
  • Manage travel logistics for executives (accommodation, transportation, meals)
  • Monitor office supplies for the executive office
  • Conduct property inspections as needed
  • Perform other related duties as assigned by the Business Unit Head
Qualifications
  • Bachelor’s degree in Business Administration, Management, Legal Studies, or related field
  • Minimum of 3 years of experience in executive support, property management, or administrative roles
  • Strong understanding of legal and financial documentation
  • Excellent organizational and multitasking abilities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to work independently and maintain confidentiality
  • Willing to work onsite in Makati City
  • Available to start immediately
