About the role

Asticom Technology Inc is seeking an experienced Executive Assistant to join our team in Bonifacio Global City, Taguig City, Metro Manila. This is a full-time position that plays a crucial role in supporting our executive leadership and ensuring the smooth operation of our office.

As Executive Assistant, you will be the right-hand to senior management, providing comprehensive administrative and organisational support that directly impacts the efficiency and effectiveness of our leadership team. This role is essential to maintaining the high standards of professionalism and productivity that define our organisation.

Key responsibilities
  1. Managing executive calendars, scheduling meetings, and coordinating complex diary arrangements across multiple stakeholders
  2. Preparing and organising executive correspondence, reports, presentations, and documentation
  3. Arranging travel itineraries, accommodation, and logistics for executives, including visa and travel documentation as required
  4. Conducting research and compiling information to support executive decision-making and strategic initiatives
  5. Maintaining confidentiality and exercising discretion when handling sensitive business matters and communications
  6. Liaising with internal departments and external partners to facilitate smooth business operations
  7. Managing office expenses, budgets, and procurement for executive areas
  8. Supporting the organisation of meetings, conferences, and corporate events
  9. Handling general administrative duties including filing, record-keeping, and documentation management
  10. Providing ad-hoc support to the executive team as required to ensure operational excellence
What we're looking for
  1. 3+ years of proven experience as an Executive Assistant or in a similar senior administrative role
  2. Strong organisational and time management skills with the ability to juggle multiple priorities effectively
  3. Excellent written and verbal communication skills in English; proficiency in other languages is advantageous
  4. Proficiency in Microsoft Office Suite and other relevant office software and tools
  5. Discretion and confidentiality in handling sensitive and confidential information
  6. High level of professionalism, tact, and diplomacy when dealing with executives and external stakeholders
  7. Proactive approach with strong problem-solving abilities and attention to detail
  8. Ability to work independently and as part of a team in a fast-paced environment
  9. Experience with travel coordination and event management
  10. Knowledge of office management systems and practices
  11. Willingness to adapt and learn new tools and processes as the organisation evolves
