We are seeking a QC Assistant who will support the QC Officer in managing the control, distribution, storage, archiving, retention, and disposal of company documents and records. The role ensures that only current and approved documents are in use, while obsolete documents are properly archived or disposed of in compliance with company policies, legal requirements, and applicable ISO standards.

Key Responsibilities
  1. Document Control
  • Assist in the preparation, issuance, and revision of controlled documents
  • Maintain and update the Master List of Documents and Records
  • Ensure that only current and approved documents are in use
  • Remove obsolete documents and coordinate document review schedules
  1. Records Management
  • File, index, and store records systematically
  • Ensure confidentiality, traceability, and legibility of records
  • Retrieve records upon authorized request
  1. Archiving
  • Identify and archive obsolete or inactive documents
  • Secure necessary approvals and update the Archive Register
  • Maintain organized physical and electronic archives
  1. Retention & Disposal
  • Monitor retention schedules and identify records due for disposal
  • Prepare disposal lists and secure required approvals
  • Ensure secure and confidential disposal of records
  • Maintain proper documentation of all disposal activities
  1. Audit & Compliance Support
  • Support compliance with ISO 9001 requirements
  • Provide necessary documents during internal and external audits
  • Report document control issues and recommend improvements

Qualifications

Education:

  • Graduate of any vocational or bachelor’s degree in Business Administration, Office Management, Quality Management, or a related field
  • Relevant technical or administrative training is an advantage

Experience:

  • At least 1 year of experience in document control, records management, or administrative support
  • Experience with ISO-based management systems is preferred
Skills & Competencies
  • Strong organizational and documentation skills
  • Knowledge of document control, archiving, retention, and disposal processes
  • Proficient in MS Office and document management systems
  • Close attention to detail and the ability to handle confidential information
  • Good communication, coordination, and time management skills
