Airytrade is a construction company specializing in HVAC (Air Conditioning and ventilating), Fire Protection Systems and Plumbing Works. The Company was established in 2008 and has grown exponentially throughout the years. Airytrade is Expanding in the Visayas and Mindanao Regions and We are looking for a team who are willing to work in Cebu and Bohol Areas.

Role Description

This is a full time Job specializing in construction contracts and billing assistance and submission. The role is based in Cebu City with some work from home acceptable. The Executive Assistant will be responsible for providing administrative support to the CEO, which includes managing expense reports, diary management, coordinating meetings and appointments, and handling various administrative tasks.

The role requires effective communication and organizational skills, as well as the ability to handle confidential information with discretion.

Qualifications
  • Executive Administrative Assistance and Executive Support skills
  • Experience with Expense Reports and Diary Management
  • Proficiency in Administrative Assistance tasks
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • Ability to work independently in a hybrid setting
  • Bachelor's degree in Business Administration or related field preferred
  • Experience in the construction and development industry is a plus
  • Highly Knowledgeable in Reviewing and Creating Construction Contracts.
  • Experience in collating and completing construction billing documents.
  • Highly Proficient in using MS office (especially Excel and Word).
  • At least 10 Years work experience.

Key Responsibilities:

  • Prepare, review, and interpret construction contracts, subcontracts, and service agreements.
  • Ensure compliance with legal requirements, company policies, and project terms.
  • Coordinate with engineers, clients, and subcontractors regarding contract terms and amendments.
  • Manage billing submissions including Statement of Work Accomplished (SWA), progress billing, and change orders.
  • Monitor contract milestones, retentions, and progress payments.
  • Ensure timely follow-up on billing collections and certificates of completion.
  • Assist in the preparation of variation orders and claims.
  • Maintain organized records of contracts and billing documents.
  • Willing to travel around the Philippines if needed to assist Project Management Team on Organizing Contracts and billings.
