Key Responsibilities
  • Greeting Visitors: Welcome guests as they arrive, directing them to the appropriate person or office.
  • Answering Phone Calls: Manage incoming calls, screen and forward them as necessary, and take messages when required.
  • Administrative Support: Perform clerical tasks such as sorting mail, scheduling appointments, and maintaining office supplies.
  • Maintaining Reception Area: Ensure the reception area is tidy and presentable, creating a welcoming environment for visitors.
  • Handling Correspondence: Distribute incoming mail and prepare outgoing mail, ensuring timely communication within the organization.
Required Skills
  • Communication Skills: Excellent verbal and written communication skills to interact effectively with clients and staff.
  • Customer Service Orientation: A friendly and professional demeanor to provide a positive first impression and assist visitors.
  • Organizational Skills: Ability to manage multiple tasks efficiently, prioritize responsibilities, and maintain a well-organized workspace.
  • Technical Proficiency: Familiarity with office equipment (e.g., multi-line phone systems, printers) and basic computer skills (e.g., Microsoft Office Suite).
