Executive Assistant
The Executive Assistant provides high-level administrative and strategic support to the Executive. This role ensures the executive’s time is optimized, priorities are managed, and key initiatives move forward. The EA acts as the primary point of contact for all internal and external matters related to the executive and serves as a trusted partner in daily operations.
Key Responsibilities:
Executive Support
Manage the executive’s calendar, including scheduling meetings, confirming appointments, and resolving conflicts.
Prioritize incoming requests and communications; serve as a gatekeeper to ensure efficient use of the executive’s time.
Draft, review, and edit correspondence, reports, presentations, and other documents on behalf of the executive.
Prepare briefing materials and agendas for meetings; take notes and follow up on action items.
Anticipate executive needs and proactively address operational or logistical issues.
Operations & Communication
Coordinate communication between the executive and internal departments, ensuring follow-through on directives.
Manage email correspondence, flag urgent items, and support inbox organization.
Represent the executive professionally in all interactions with clients, partners, and stakeholders.
Assist with project coordination, tracking deadlines, and supporting executive-level initiatives.
Logistics & Administration
Plan and manage domestic and international travel arrangements.
Process expenses, invoices, reimbursements, and vendor documents.
Maintain confidential files, records, and databases.
Support personal scheduling or tasks as needed (optional based on company norms).
Qualifications:
Strong experience supporting senior executives or C-suite leaders
Excellent communication skills and ability to draft correspondence on behalf of the executive
Exceptional organization, time management, and prioritization abilities
Proven discretion and ability to handle confidential information
Skilled at managing complex calendars, travel, and logistics
Proactive problem-solver with strong judgment and decision-making skills
Proficient in Microsoft Office/Google Workspace and quick to learn new tools
