Position Overview:

The Vault Custodian and Administrative Support Staff plays a key role in managing physical document filing, retrieval, and supporting basic administrative functions within the company. This entry-level or contractual role is designed for candidates who are eager to develop foundational skills in document management, KYC processes, and administrative support while working in a structured environment.

Vault Custodianship

Shall assist Sr. Credit Administrator in -
  • Ensuring the safekeeping and organization of physical documents stored in the vault.
  • Maintaining updated inventory logs, tracking all documents stored, retrieved, borrowed, or returned.
  • Conduct regular inventory checks and vault audits to ensure document integrity and availability.
  • Manage document retrieval requests and timely return of borrowed files/documents.
  • Assist in the preparation and turnover of documents for offsite storage.
  • Implement security measures to protect sensitive documents in compliance with company policy and the Data Privacy Act.
Administrative Support
  • Provide clerical assistance such as answering phone calls, photocopying, scanning, filing, sending of requests to other Department, routing of documents, letter sending and encoding in databases.
  • Coordinate meeting schedules, logistics, and other administrative requirements.

Qualifications:

  • Recent college graduate looking to start a career in administrative support.
  • With prior experience in document safekeeping, records management, or administrative support is an advantage.
  • Detail-oriented, highly organized, and trustworthy.
  • Strong sense of confidentiality and accountability.
  • Proficient in basic computer applications (Word, Excel, Email).
  • Good communication and interpersonal skills.
