Position Overview:
The Vault Custodian and Administrative Support Staff plays a key role in managing physical document filing, retrieval, and supporting basic administrative functions within the company. This entry-level or contractual role is designed for candidates who are eager to develop foundational skills in document management, KYC processes, and administrative support while working in a structured environment.
Vault Custodianship
Shall assist Sr. Credit Administrator in -- Ensuring the safekeeping and organization of physical documents stored in the vault.
- Maintaining updated inventory logs, tracking all documents stored, retrieved, borrowed, or returned.
- Conduct regular inventory checks and vault audits to ensure document integrity and availability.
- Manage document retrieval requests and timely return of borrowed files/documents.
- Assist in the preparation and turnover of documents for offsite storage.
- Implement security measures to protect sensitive documents in compliance with company policy and the Data Privacy Act.
- Provide clerical assistance such as answering phone calls, photocopying, scanning, filing, sending of requests to other Department, routing of documents, letter sending and encoding in databases.
- Coordinate meeting schedules, logistics, and other administrative requirements.
Qualifications:
- Recent college graduate looking to start a career in administrative support.
- With prior experience in document safekeeping, records management, or administrative support is an advantage.
- Detail-oriented, highly organized, and trustworthy.
- Strong sense of confidentiality and accountability.
- Proficient in basic computer applications (Word, Excel, Email).
- Good communication and interpersonal skills.
