Overview

We are seeking a highly organized, proactive, and adaptable Operations Manager / Executive Assistant to support multiple interconnected nonprofit, civic engagement, and social impact organizations focused on disaster management, food security, environmental justice, technology initiatives, and community resilience efforts.

This role is heavily focused on executive support, operations coordination, project tracking, partner communication, and workflow organization across multiple fast-moving initiatives. The ideal candidate is resourceful, detail-oriented, emotionally intelligent, and capable of independently managing priorities while maintaining strong organization and follow-through.

The position requires someone who is comfortable coordinating schedules, handling ongoing communications, managing operational systems, and supporting leadership with both executive and project management tasks. Candidates with experience in executive assistance, nonprofit operations, project coordination, or mission-driven organizations are highly preferred.

Key Responsibilities
  • Manage calendars, scheduling, travel coordination, meetings, and executive follow-ups across multiple organizations and initiatives
  • Coordinate communications with nonprofit partners, volunteers, stakeholders, vendors, and community organizations
  • Organize and maintain digital filing systems, project trackers, operational documents, and organizational workflows
  • Track priorities, deadlines, deliverables, recurring tasks, and ongoing operational projects to ensure timely completion
  • Support project coordination related to disaster management, food security, environmental justice, civic engagement, and technology initiatives
  • Assist with newsletters, outreach communication, contact management, and basic content coordination using Mailchimp and Canva
  • Support leadership by helping improve workflows, maintain operational organization, and reduce administrative burden across teams
Executive & Administrative Support
  • Manage calendars, appointments, meeting logistics, and travel coordination
  • Draft, organize, and manage emails, presentations, correspondence, and documents
  • Track follow-ups, deadlines, priorities, and deliverables across multiple initiatives
  • Coordinate internal and external communications with partners and stakeholders
  • Maintain organized digital filing systems using Google Drive and related platforms
  • Provide day-to-day executive support while helping streamline administrative operations
Operations & Project Management Support
  • Coordinate and track ongoing projects across multiple nonprofit and social impact organizations
  • Maintain project timelines, operational trackers, calendars, and recurring tasks
  • Support volunteer coordination and partner relationship management
  • Assist with meeting preparation, agenda development, note-taking, and follow-up tracking
  • Monitor organizational priorities and help ensure projects remain on schedule
  • Identify opportunities to improve workflows, systems, and operational efficiency
Preferred Skills & Qualifications
  • Experience in executive assistance, operations coordination, project management, or nonprofit administration
  • Strong organizational and multitasking abilities
  • Excellent written and verbal English communication skills
  • Comfortable managing multiple priorities and fast-moving workflows simultaneously
  • Strong attention to detail and follow-through
  • Ability to work independently with minimal supervision
  • Strong proficiency with Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
  • Experience using Canva and Mailchimp
  • Comfortable working in evolving, mission-driven environments with shifting priorities
Nice-to-Have (Bonus Skills)
  • Experience supporting nonprofit leaders, founders, or mission-driven organizations
  • Background in nonprofit operations, volunteer coordination, or grant support
  • Familiarity with AI tools and emerging workflow platforms
  • Experience supporting distributed or remote-first teams
  • Understanding of advocacy, civic engagement, or community resilience initiatives
  • Experience helping improve operational systems and scalable workflows
  • Familiarity with Caribbean or island-based community initiatives is a plus
