JOB SUMMARY

The primary focus of this role is to support the New Zealand-based company by handling various business-related tasks. The Junior Bookkeeper & Logistics Assistant provides day-to-day administrative, bookkeeping, inventory, and logistics support across multiple business entities.

This role is responsible for handling transactional accounting tasks, maintaining records, updating reports, coordinating stock and freight logistics, and supporting forecasting activities.

The ideal candidate is organized, detail-oriented, and eager to learn bookkeeping and logistics operations within a remote working environment. This position reports directly to the Senior Bookkeeper & Logistics Coordinator.

MAJOR RESPONSIBILITIES
  1. Bookkeeping & Administrative Support
  • Organize and manage finance-related emails and documentation
  • Forward invoices and accounting documents to Xero and relevant systems
  • Process invoice data entry and assist with coding transactions
  • Match bank transactions during reconciliation processes
  • Record inter-entity reimbursements and related transactions
  • Update inventory and accounting records accurately
  • Assist with overdue account monitoring and AR/AP follow-ups
  • Prepare and update weekly and monthly sales reports
  • Maintain stock lists and supporting documentation
  1. Logistics & Inventory Support
  • Track stock sent to and returned from events
  • Assist in forecasting stock requirements for upcoming events
  • Coordinate stock ordering and freight arrangements
  • Update forecasting spreadsheets with current sales and production data
  • Maintain inventory and stock movement records
  • Keep Mintsoft and inventory systems updated
  • Monitor packaging stock levels and initiate reorder requests
  • Coordinate freight and delivery schedules for production requirements
  • Ensure ingredients and production materials are confirmed before production runs
  1. Reporting & Records Management
  • Track and report cider production volumes
  • Record and report sales volumes by distribution channel
  • Maintain inventory accuracy across warehouses and 3PL providers
  • Assist in identifying and resolving stock discrepancies
  • Prepare reports and spreadsheets required by management
  1. Team Support
  • Support the Senior Bookkeeper & Logistics Coordinator with delegated tasks
  • Maintain organized records and filing systems
  • Assist with ad hoc administrative and operational tasks as needed

QUALIFICATIONS

Knowledge
  • Basic understanding of bookkeeping and accounting processes
  • Familiarity with spreadsheets and data entry
  • Understanding of inventory or logistics processes is an advantage
  • Basic knowledge of Xero or cloud accounting systems preferred
Skills
  • Strong attention to detail and accuracy
  • Good organizational and time management skills
  • Proficiency in Microsoft Excel and Google Sheets
  • Ability to follow processes and instructions carefully
  • Good written and verbal communication skills
Abilities
  • Ability to learn quickly and adapt to changing priorities
  • Ability to work independently and as part of a remote team
  • Ability to handle repetitive and detail-oriented tasks consistently
  • Ability to manage multiple deadlines and responsibilities
EQUIPMENT/SYSTEM REQUIREMENTS
  • Desktop/Laptop with at least an i5 processor; Windows 11 OS
  • Minimum 8GB RAM
  • Stable internet connection with at least 50 Mbps speed
  • Working headset and camera for virtual meetings
  • Dedicated and professional remote workspace
