Key Responsibilities:
- Input financial transactions into Motor Central, Xero, and Google Sheets with a high degree of accuracy, specifically:
Data Entry:
- Record daily operations staff jobs for individual vehicles in Motor Central
- Enter NZCC truck delivery expenses against each vehicle in Motor Central
- Input PNP (Panel and Paint) quotes into Motor Central
- Enter Trim-Fix/Dent quotes into Motor Central
- Record mechanical workshop repair/claims quotes in Motor Central
Invoicing Processing:
- Enter CCW invoices into Motor Central and update from estimated cost to actual invoice
- Update estimated transport expenses/quotes to actual invoices in Motor Central (e.g., Jacanna, MAC, Car Buddy, Lawrence, BMA, Frontline Towing, and any new transport companies as required)
- Update PNP quotes to actual invoices (e.g., ABHI, Ark, JD, Aymans, Ninja, and others as required)
- Convert grooming estimated costs to actual expenses (e.g., Detailing Doctor, FS Buksh)
- Update Trim-Fix/Dent quotes to actual invoices in Motor Central
- Review and validate invoices, purchase orders, and supporting documentation
- Perform reconciliations and report any discrepancies
- Maintain organized digital and physical filing systems
- Assist in generating basic financial reports
- Follow internal controls and data-entry procedures
- Provide support during audits or financial reviews as needed
- Collaborate with team members to support month-end and year-end accounting processes
- Maintain daily attendance records for all operational staff
- High school diploma or equivalent required
- Prior experience in data entry or accounting support is preferred
- Proficient in Microsoft Office, particularly Excel
- Proficient in Google Suite, especially Google Sheets
- Familiarity with accounting software such as Xero and Motor Central (training provided) is a plus
- High attention to detail and data accuracy
