We are looking for an experienced FACILITIES COORDINATOR to be assigned at our Head Office.
Key Responsibilities:
Facilities Operations & Maintenance:
- Coordinate and monitor daily facility operations to ensure a safe and productive environment for employees and visitors.
- Organize and oversee maintenance and repair activities, including HVAC, plumbing, electrical systems, and general building upkeep.
- Conduct routine inspections to identify areas requiring maintenance and ensure repairs are completed in a timely manner.
Vendor and Supplier Management:
- Liaise with third-party vendors, contractors, and service providers for facility maintenance, cleaning, security, and landscaping.
- Manage contracts and agreements with vendors, ensuring services are delivered according to specifications and standards.
- Track and verify invoices from vendors and coordinate payments with the finance department.
Health & Safety Compliance:
- Ensure facilities adhere to health, safety, and environmental standards, including OSHA and local regulatory guidelines.
- Implement and monitor emergency response procedures, including evacuation plans and safety protocols.
- Conduct regular safety audits and training sessions to promote a safe work environment.
Space Management & Facility Planning:
- Assist in space planning and utilization analysis to optimize the workplace layout and accommodate team growth.
- Support moves, additions, and changes within the facility, coordinating with internal teams and movers when required.
- Maintain up-to-date facility floor plans and occupancy records.
Inventory and Supplies Management:
- Monitor and maintain inventory of facility supplies and equipment, including office supplies, cleaning materials, and first aid kits.
- Manage ordering and restocking processes to prevent shortages and ensure availability of essential items.
Administrative and Reporting Duties:
- Maintain accurate records of facility activities, including maintenance schedules, vendor contracts, and equipment warranties.
- Prepare reports on facility performance, issues, and improvements for management review.
- Assist the Facilities Manager in budgeting, forecasting, and tracking expenses for facility related costs.
Qualifications:
- Education: Bachelor’s degree in Facilities Management, Business Administration, or a related field (preferred).
- Experience: 2+ years of experience in facility management, operations, or a similar role.
- Technical Skills: Knowledge of building maintenance processes and systems (HVAC, electrical, plumbing); familiarity with safety and compliance regulations.
- Soft Skills: Strong organizational, multitasking, and communication skills; problem-solving ability; excellent attention to detail.
- Software: Proficiency in Microsoft Office Suite; experience with facility management software is a plus.
Working Conditions:
- Physical Requirements: This role requires some physical activity, including walking, lifting, and inspecting building facilities.
- Schedule: Full-time; may require occasional evening or weekend work for facility emergencies or special projects.
